Send emails from Teamtailor using a custom email domain

Use your own email domain for emails sent to users and candidates through Teamtailor

By default, emails sent to candidates and users are sent from a Teamtailor email address. With a custom email domain, you can send these emails from an address using your own domain instead.

For example, instead of emails being sent from a Teamtailor address, you can use:

no-reply@mail.company-name.com

Using a custom email domain helps create a more consistent, branded experience for both candidates and users while improving email deliverability.

Setup

Under Settings → Content → Domains and SSL → Email, you find the option to configure your own custom domain to use for communications sent via email to users and candidates.

By default, emails sent from Teamtailor are sent from the following email domain: @company-name.teamtailor-mail.com

By clicking the Email section, you can add your own custom email domain.

1. Choose your email domain

Add the email domain you want to use for communications with users and candidates through Teamtailor. Enter the dedicated email subdomain you want to send emails from, for example mail.techcompany.com.

The custom email domain must include a subdomain and be different from the one used for your career site.

Click Save and verify email domain to complete the first step of the setup.

2. Prepare your DNS

Next, add the DNS records shown on the setup page to your DNS provider. The values required for your domain are generated automatically.

3. Verify

Once you've added the records to your DNS provider, there's nothing more you need to do. Teamtailor automatically verifies your setup by running three checks:

Confirms that emails are authenticated using your domain

MX

Confirms that replies can be received by Teamtailor

The status of each check will move through Not started → Pending → Success. If a record is missing or configured incorrectly, the status will show as Failed.

Once all three checks show Success, emails will automatically be sent from your custom email domain.

Note! DNS changes can take anywhere from a few minutes to up to 48 hours to take effect.

Custom email domains for Divisions

If your company uses our Divisions add-on feature, each division can have its own custom email domain. This ensures that candidates receive emails from the domain associated with the division they applied to. For example, candidates in Division A can receive emails from one domain, while candidates in Division B receive emails from another.

A division will only send emails from its own custom domain when:

  • The division has a published default career site.

  • The division's custom email domain is verified through all three checks described above.

If a division does not have a published default career site, emails are sent using the main company's email domain instead (the main company's custom domain if verified, otherwise the default Teamtailor address). If the division has a published default career site but its custom email domain is not yet verified, emails are sent from the division's default Teamtailor address until verification completes.

Troubleshooting

If you run into issues during setup, check the troubleshooting steps below on how to resolve them.

Setup is stuck on pending

DNS changes can take up to 48 hours to take effect. If the status remains pending after that, check that the record names and values in your DNS provider exactly match the values shown in Teamtailor.

Setup has failed

This means a DNS record is missing or does not match the required configuration. Check the record name, type, and value against the details shown in Teamtailor. If there are old or duplicate records for the same host, remove them and add the correct record exactly as shown.

Emails are still sent from a Teamtailor address

All three checks must show Success before emails are sent from your custom domain.

If you're using a custom email domain for a division, also make sure the division has a published default career site.

Replies are not coming through

Check the MX record. This record is responsible for directing replies to Teamtailor. Make sure the MX record is configured exactly as shown in the Teamtailor setup.

FAQ

Why do I need a separate custom domain from the career site?

If you use a custom domain for your career site, you cannot use the same domain for your custom email domain. The DNS configurations required for each cannot coexist on the same domain.

Instead, use a separate subdomain for your email, for eg:

  • Career site: jobs.yourcompany.com

  • Email: mail.yourcompany.com

This allows the required DNS records for your career site and email to coexist without conflicting with each other.

Why do I need to use a subdomain instead of the main domain?

You cannot use your company's main domain for Teamtailor email, for eg. techcompany.com.

When setting up a custom email domain, Teamtailor needs an MX record to route replies to candidate emails back to Teamtailor. If you added this MX record to your main domain, it could affect how email for your entire company is delivered.

For example, if your employees use @techcompany.com for their normal email, changing the MX records for yourcompany.com could cause those emails to be routed to Teamtailor instead of your existing email provider.

Using a dedicated subdomain keeps Teamtailor's email traffic separate:

  • Company email: techcompany.com

  • Teamtailor email: mail.techcompany.com
