With snapshot custom reports, you are able to create tailored reports on jobs, job applications, candidates, and users based on the data that you have available in your Teamtailor platform today.
This allows for successful and flexible reporting that can be easily stored and shared with your colleagues. These reports are built up using different columns and filters of your choice, ensuring they contain the information relevant to you.
Note that if you would like to create reports that also show historic data from deleted candidates and jobs, or with more visual charts please visit our article on historic custom reports.
Get started
To create a snapshot report, head over to Analytics in the top navigation menu, and here go to the Custom reports tab.
Please note that this feature is only available for users with Company Admin or Recruitment Admin access.
Click the Snapshot report option from the two available report types (read more about Historic reports here).
Report templates
The snapshot reports are created based on templates within different categories.
Select one of the templates for your report from the available ones under each category to get started:
Category | Templates |

Job application snapshot | Job applications snapshot quick start: A great starting point with basic job application data such as job title, job name, department, role, candidate name, and stage name.

Data columns
The data in your custom reports is added using available data columns. You can choose which columns you want in your report, and in which order you want them to appear.
Note that only 5 rows are shown in the preview. When you finish editing, the full report will be generated, displaying all the available data.
The available columns vary depending on the snapshot report category used (jobs, candidates, job applications, and employees). Job application snapshot reports are a good way to combine candidate and job data.
Filters
You can include filters in your reports to make them even more relevant. With the filter, you’re able to add different operators like equal to, greater than or less than, and contain any or all. You will be able to get into detail and combine the filters you need.
Automatically calculate the numbers
After you’ve added the relevant columns and filter, it’s time to take the report to the next level by letting Teamtailor crunch the numbers for you.
To add a calculation, simply click Calculate below the column in question and select the statistical method you’re interested in. This includes, for example, count, sum, average, etc.
Once you generate/save the report, the calculations will remain and stay available for you and your team.
Generate and save the report
Once you’ve added the data columns and filters you want your report to contain, it’s time to generate it. Do so by clicking Finish editing in the top right corner.
After confirming the report looks good, go ahead and save the report by assigning a name and icon.
Once saved, you have the option of sharing it with any admin user at your account by copying the URL of the page. This could be useful if you’re creating the report for a one-time check, or if you need a friendly thumbs-up from a colleague before saving the report.
Saved reports
Any saved report will be available for the admin users in your account when they head over to the Custom reports section on the Analytics page.
View a report
To view a specific report, click on it under Custom reports to see the full report. The report will be updated with the latest data every time you or a teammate views it.
Under the three dots, you will find a menu with options to edit the report, download it to a .csv file, as well as delete the report altogether.
Schedule a report
Our scheduling feature allows you to set up automatic emails delivered to you and/or other recipients. All selected recipients, both users and external, no matter their access roles, will be able to view all the data contained in the report.
This will make sure the selection of people has the right information at the right time. Set up a schedule that suits your purpose – daily, weekly, monthly, or as needed, for the custom reports you have created:
An email will be sent out to each recipient according to your setup. This email will contain a .csv zip file available for download with the data.
Examples
The possibilities with custom reports are endless, but with the idea to spark your reporting creativity, here you can see a few examples of reports you can build!
Job snapshot quick start
In this report, we have added filters to show all published jobs posted within the Sales department.
Candidate ratings
In this report, we have added filters to show the highest-rated candidates that belong to the Product department.
Job applications reject reasons per stage
In this report, we have added filters to show the reason why a candidate's job application is rejected during the Interview phase of the recruitment process.
Pro tip! In Job application snapshot reports, you can include application questions as columns and filters. This allows you to identify patterns and insights. For example, if applications coming from social media are frequently rejected due to a lack of relevant experience, it might be worth shifting focus to other channels like job boards or referrals.
Employees snapshot quick start
In this report, we've added filters to show all users who were created after 2025-09-01 to get a list of all new employees who started after the summer.
