Efficient communication is key when managing candidates. Scheduling messages allows you to plan outreach at the perfect time, ensuring timely and thoughtful interactions without disrupting your workflow. It also ensures your message reaches candidates at the right time, regardless of their time zone.
How do I schedule messages?
You can schedule messages either by composing them directly or by using the Triggers feature to automate the process.
Direct Messages
To schedule a message manually, open the candidate’s profile and navigate to the Messages tab. Compose your message as usual, but instead of clicking Send email to send it immediately, click the small arrow to the right of the button to schedule it.
From here, you can choose one of three default options: Next week, Tomorrow, or In 3 hours. Alternatively, select Custom to open a calendar where you can specify the exact date and time - down to the minute - for the message to be sent.
Scheduled messages appear in blue instead of pink, making them easy to distinguish from sent emails.
Message Triggers
For automated messaging, set up a trigger to send messages at specific stages of your recruitment process. To do this, click the three dots in the upper-right corner of the stage in question, select Triggers, and choose Send message.
When composing the automated message, open Additional options in the Trigger setup to define the delay. Specify how many minutes, hours, or days should pass after a candidate is moved into the stage before the message is sent.
These scheduled messages appear in the candidate’s Activity tab until they are sent, after which they will be added to the Messages tab as well as part of the conversation history.
Deleting a scheduled message
If you need to cancel a scheduled message, it can be removed as long as it hasn’t been sent yet.
For messages written directly in the candidate card, go to the Messages tab, click the three dots next to the scheduled message, and select Delete.
For messages scheduled via a trigger, navigate to the Activity tab. Upcoming triggers are listed at the top of the activity log. Hover over the scheduled trigger, and the Cancel trigger option will appear. Selecting this removes the scheduled message, ensuring it will not be sent.
