The Cezanne HR integration enables a candidate's record to be automatically created within the main Cezanne system.

The integration to Cezanne HR creates the following:

  1. A person record in Cezanne with basic personal information and contact details.

  2. The person's employment details record, based on the company code specified in the integration configuration.

  3. The person's deployment record, based on the department specified on Teamtailor and the Org Unit Code in Cezanne.

  4. A new starter process task for a specified HR Professional (New Hire Administrator) for each successful candidate.

Cezanne Configuration

Important:

This integration only works if an 'Enter a New Starter' or 'Enter a New Starter (Without Absences)' Process is active. For more information about how to set up these processes, see: New Starter Process (https://support.cezannehr.com/en/support/solutions/articles/15000007796-new-starter-process).

The latest 'Enter a New Starter (with Absences)' Process created will be used first by the integration. If one cannot be found the latest 'Enter a New Starter (without Absences)' process created will be used instead.

Navigate to: Administration >> Setup & Security >> Integrations >> Teamtailor

Teamtailor Details

The details screen configures the subscription to Teamtailor and some of the details for a successful candidate's New Starter Process.

  1. Click Add New.

  2. Provider Key - Enter the Provider Key. This key can be obtained by going to Teamtailor > Marketplace > Cezanne HR and then clicking on the activate button.

  3. New Hire Administrator - Search for an HR Professional User to be the person responsible for the New Starter Process. They will be sent the tasks to complete a successful candidate's New Starter Process.

  4. New Hire Default Company - Search for the Company Code the successful candidate will be hired into.

  5. Click Save.

Note:

The New Hire Administrator field will have to be manually updated if the user becomes a leaver or their Username changes. Only 1 Default Company can be entered, however, a successful candidate's Company can be changed in the New Starter Process by the New Hire Administrator.

Teamtailor Log

The Log tab displays any information or errors that have occurred after hiring a successful candidate in Teamtailor.

  1. An Information message shows which Person the integration has successfully started a New Hire Process for.

  2. An Error message shows that a person's Employment/Deployment records have not been successfully created in the system and displays why e.g. because the Department in Teamtailor does not match an Org Unit Code in Cezanne etc. For more information about errors, see the Troubleshooting section in the bottom of this article.

Teamtailor Configuration

To configure the integration in Teamtailor, you first need to obtain a provider/integration key from Teamtailor. This key can be obtained by going to Teamtailor > Marketplace > Cezanne HR and then clicking on the activate button.

Once you have the Provider Key and the integration has been added to your Teamtailor account, you need to add a Trigger to the Hired stage of the vacancy to 'Send Cezanne Webhook'.

Navigate to: Jobs >> Click Edit >> Stages

1. Select the Add Trigger button.
2. Choose Send Webhook (Cezanne HR)
3. Select Add Trigger.
4. Click Save.

Before advertising for a new vacancy, ensure the Org Unit Code has been entered into the Teamtailor Picklist. To do this, navigate to the Settings screen from the top bar.

1. Click on 'Departments' from the left-hand menu.

2. Click '+ Department' button.
3. Enter the Org Unit Code from Cezanne.

Note:

If the Org Unit Code entered in Teamtailor does not match an Active Org Unit Code in Cezanne, the New Starter process will start without a Deployment Record.

Fields Sent to Cezanne

The following fields are sent to Cezanne using the integration:

Sent from First Name field in Teamtailor.

Surname

Sent from Last Name field in Teamtailor.

Known As

This will default to the name entered in the First Name field.

Full Name

This will default to the First & Last Name entered.

Legal Name

This will default to the First & Last Name entered.

Person Code

If using Automatic Person Code Settings, this will be automatically generated as the next available code.
If not using Automatic Person Code Settings, the field will contain the Teamtailor number prefixed by 'REC'.

Gender

This field is not filled out in Teamtailor, but is a mandatory field in Cezanne so defaults to the Gender with code 'U', which by default is 'Not Known'.

Date of Birth

This field is not filled out in Teamtailor, but is a mandatory field in Cezanne so defaults to Today's Date.

Personal Mobile Number

Sent from Phone Number entered in Teamtailor.

External E-mail

Sent from E-mail Address entered in Teamtailor.

This field is not filled out in Teamtailor, but is a mandatory field in Cezanne so defaults to Today's Date.

Termination Date

This field defaults to 'OpenEnded'.

Employment ID

This field will default to the same as Person Code.

Company Name

This field is determined by the Company Code entered in the Cezanne - Teamtailor screen,

Deployment

Org Unit Name

Sent from the department field in Teamtailor, which must match an active Org Unit code in Cezanne. The deployment record will not be created if there is no active Org Unit Code in Cezanne that matches.

Position title

Sent from the Job/Title field in Teamtailor. The field will be left blank if there is no active Position in Cezanne with a Title matching Title.

Note: Any changes made to a field in a successful candidate's profile in Teamtailor will not be sent to Cezanne after a New Starter process in Cezanne has started.

Troubleshooting

This section contains a possible solution to problems that you may encounter when using the Teamtailor integration:

  • New Starter Process Task has not been created.

  • Employment details record has not been created.

  • Deployment record has not been created.

  • Deployment record created but the Position Title is blank.

Note: Ensure you have checked the log to find details on any errors that may have occurred.

New Starter Process Task has not been created

The new starter process will not be created if any of the Teamtailor webhook details and Cezanne Integration details do not match but will still be created without a deployment or employment record if the department or company cannot be found.


Solution

  • Check that the New Hire Administrator is set to an active user.

  • Check the Provider Key has been entered correctly. You will need to ask Teamtailor for a reminder of this.

  • Check that the Hired stage of the vacancy in Teamtailor has the 'Send Webhook' trigger added.

  • Check the candidate's Application Status in Teamtailor is 'Hired'.

Once the problem is solved, you will need to search for the person in Cezanne.

1. If you find the person

  • Navigate to: Administration >> Processes >> Start a Process >> Employee Administration Tab.

  • Select the new starter process you want to use and click Next.

  • Select Enter Details for an existing person, find the person and select them.

  • Click Go.

2. If you can't find the person

  • You will need to recreate them in Teamtailor and move the new record to the Hired stage of the vacancy.

  • The task should then be created in Cezanne.

Employment Details has not been created

Employment Details will not be created if:
1. The Company is now inactive or has been deleted.

Solution

  • Add the Employee details in the new starter process.

  • To prevent this from happening for any other successful candidates, change the Default Company in the Integration screen to one that is active.

2. The Company Code has been changed.

Solution

  • Add the Employee details in the new starter process.

  • Manually update the Company Code to the current code in the Integration screen.

Deployment record has not been created

A Deployment record will not be automatically created in the process if no Department has been entered in Teamtailor.

Solution

  • The New Hire Administrator will have to add the Deployment details in the new starter process.

  • Enter a Department in Teamtailor which matches the Org Unit Code of an active Org Unit in Cezanne.

Deployment record created but the Position Title is blank

No Position Title will be entered on the Deployment Details tab in the New Starter Process if:

1. The Job / Title in Teamtailor does not match an active Position Title in Cezanne.
2. There is more than one active Position Title in Cezanne that matches the Job / Title in Teamtailor.


Solution

  • The New Hire Administrator will have to add an active Position to the candidate's Deployment record in the new starter process.

  • To prevent this from happening again for any other successful candidates, ensure the Job / Title in Teamtailor matches just one active Position in Cezanne.
