Assign candidates to departments

Explore the different ways a candidate is assigned to a department

Updated over a week ago

A candidate can be assigned to a department in multiple ways. The assigned department can both affect which job subscription emails they receive and which users can view them based on department access.

Connect

When a candidate connects with a company, they choose the department that best matches their interests and can also select a role within that department. These selections determine which department the candidate is assigned to in Teamtailor. They can update their preference at any time in their Connect profile settings.

When they first connect, the selected primary role is automatically reflected in the job subscription emails they receive. However, they can override this if they, for example, wish to receive emails from additional departments.

Candidate card

To move a candidate to a different department manually, open their candidate card and select Move candidate in the action menu.

From there, select the department and role you want to assign to the candidate.

Application

When a candidate applies to or is sourced to a job, they are automatically assigned to the department and role associated with that job.

The department and role from the first job they apply to or are sourced to will remain unless the candidate connects with the company or is manually moved.

Rules of assignment

A candidate’s chosen department and role in Connect will always override the company settings. This means they won’t be moved to another department, even if they apply for a job in a different one or you try to assign them manually. This ensures that the candidate’s preferences are followed and helps prevent recruiters from sourcing them for roles they aren’t interested in.

If a candidate is not connected, the department you manually assign them will stay unless they connect to another department or you manually change it again.

Priority

  1. Connect settings (Overrides all)

  2. Manually assigned department (Overrides job/sourced applications)

  3. Job application/Sourced application
