Integrate with FoundU, and start onboarding your candidates

foundU is an Australian-built, all-in-one workforce management platform designed to simplify and streamline HR operations for businesses with flexible teams. Founded in 2015, foundU offers a cloud-based solution that integrates onboarding, rostering, payroll, and compliance tools, eliminating the need for multiple systems.

Getting started

To activate the integration, navigate to the Teamtailor Marketplace - accessible from any page within your Teamtailor dashboard, by clicking on your company name at the top right corner. ​


Inside the Marketplace, locate the foundU card by either searching for it directly in the search bar, or navigating through our categories. By clicking on the foundU-icon you can read more about the partner and also activate the integration.

Click on the "Activate"-button, which will redirect you to the activation page, asking you to enter your subdomain name in FoundU.

To find your subdomain - simply log in to FoundU, and check the URL in the dashboard. It should look like this: company-name.foundu.com.au

The subdomain in this case would be "company-name".

Enter this in the "Customer"-field, and click on the "Activate"-button to continue to the next steps.


As soon as you have clicked on the "Activate"-button - it should prompt a new pop-up page from loading, redirecting you to foundU - asking you to authorize the connection from being made.


Once you give permission, and click on "Continue integration" - the pop-up window will close by itself, and the integration will be ready to use inside Teamtailor!



Setting up the workflow in Teamtailor

There are two ways to use the integration inside Teamtailor.

  1. Automated Triggers
    ​Enter any job or job-template you wish to add the foundU-trigger to.

    Add a new trigger, and select the option "Send foundU Webhook" from the drop-down menu. In the pop-up page that appears that allows you to configure the trigger, you can decide if the trigger should automatically send a "Welcome email" once used.

    You can also decide if the candidate sent to foundU should be a "Contractor" onboarding user. If nothing else is indicated - the integration will trigger, without sending a welcome email or making changes to the candidate's user status in foundU.


    Click on "Add trigger" once you have made your choices - and the trigger will be added to the selected stage.

    Once the trigger has been added to the stage inside the job, any candidate that is moved to the stage containing this trigger, will be sent to your foundU account.

  2. Manual trigger of integration
    In some cases, you might want to trigger the integration, without moving the candidate between stages in your job-process, eliminating the need of a trigger in this case.

    To do so, while viewing any candidate - click on these three dots:


    And then select the option, "Add integrations".

    A new pop-up page will appear, where you can select which integration to trigger. Select the foundU icon to proceed - and then, follow the steps in section 1 - click on "Send webhook" to trigger the integration on the selected candidate.

    This will immediately trigger the integration on the candidate, without them having to be part of a specific job-process, or moving them between stages.



What happens when the integration is triggered


In the activity section on the candidate-card in Teamtailor, you should see that the integration has been triggered on the candidate-card, and the timestamp of that action. ​


On the center of the candidate-card, you will be able to follow the status of the webhook/trigger. ​​If the candidate was successfully sent to foundU, with no errors, you will see the green status "Sent". This means that you should be able to locate the candidate inside foundU. ​


If there were any issues when trying to send the candidate-data to foundU, you will see the status, "Failed". If you see this, reach out to our Support Team for further assistance. ​

To find the candidate, navigate to the "People"-section on the top left inside foundU, and select "Pending People".


There - you should be able to find your newly hired candidate sent directly from Teamtailor. Now, you can start onboarding your new hires directly in foundU!



Data transfer

The following data is sent from Teamtailor into foundU.

  • Candidates first name (Required field)

  • Candidates last name (Required field)

  • Candidates email address (Required field)

  • Candidates phone number (Required field)

  • Candidate Contractor status (selected when configuring trigger)



FAQ

What type of user does the integration create inside foundU?
- When you trigger the integration in Teamtailor, the integration will create a "People" profile inside foundU. You will be able to access the profile by navigating to "People" -> "Pending People". The profile will have a contractor status if you selected this option when creating the trigger/using the integration in Teamtailor.

How long does it take for the integration to work? ​
- Once you have triggered the integration, the user should appear in foundU immediately, within a few seconds, allowing you to start the onboarding process without any delays.

The integration seems to be failing on a candidate, what am I doing wrong?
- Ensure the candidate has a first name, last name, email address and phone number, before using the integration - these fields are required in order to create the profile in foundU.
