Partner: Experian (Background checks)

Integrate with Experian to initiate a seamless background check for your candidates.

By integrating Experian's robust data capabilities and innovative technologies, you can start the process of a background check for your newly hired candidates in Teamtailor.



Getting started

To activate the integration, navigate to the Teamtailor Marketplace - accessible from any page within your Teamtailor dashboard, by clicking on your company name at the top right corner. ​


Inside the Marketplace, locate the Experian card by either searching for it directly in the search bar, or navigating through our categories. By clicking on the Experian-icon you can read more about the partner and also activate the integration.

Click on the "Activate"-button, which will open up a pop-up page requesting some information from you.

To locate the Experian API Email and Key - navigate to the Service API Access section inside the Experian platform. If you have any issues finding these credentials, you can reach out to Experian for further guidance

Once you have added the Experian API Email, key, and User Email - you can click on the "Activate"-button to finish the activation. The pop-up window will close by itself and let you know the integration has been installed on your account.

The integration is now ready to be used on your Teamtai​lor account.



Setting up the workflow in Teamtailor

There are two ways to use the integration inside Teamtailor.

  1. Automated Triggers
    ​Enter any job or job-template you wish to add the Experian-trigger to.

    Add a new trigger, and select the option "Send Experian Webhook" from the drop-down menu. In the pop-up page that appears that allows you to configure the trigger, you will have multiple choices in regards to configuring the trigger:


    Selecting a Product, and a Title, is necessary for the trigger to work.
    Once you have configured the trigger, you can click on "Add trigger" - and the trigger will be added to the selected stage.

    Once the trigger has been added to the stage inside the job, any candidate that is moved to the stage containing this trigger, will be sent to your Experian account and a background check process will commence.

  2. Manual trigger of integration
    In some cases, you might want to trigger the integration, without moving the candidate between stages in your job-process, eliminating the need of a trigger in this case.

    To do so, while viewing any candidate - click on these three dots:


    And then select the option, "Add integrations".

    A new pop-up page will appear, where you can select which integration to trigger. Select the Experian icon to proceed - and then, follow the steps in section 1 - click on "Send webhook" to trigger the integration on the selected candidate. You can also use the bulk-feature to manually trigger the integration on several candidates at once, even candidates who are part of different job-processes.

    This will immediately trigger the integration on the candidate, without having to moving them between stages in your job-process.



What happens when the integration is triggered


In the activity section on the candidate-card in Teamtailor, you should see that the integration has been triggered on the candidate-card, and the timestamp of that action. ​


On the center of the candidate-card, you will be able to follow the status of the webhook/trigger. ​​If the candidate was successfully sent to Experian, with no errors, you will see the initial status, "Pending". This means that the background check was successfully initiated for the selected candidate.

You will also find a "Candidate report"-link, leading you to a page inside Experian to keep track of the background check process.

The candidate should within seconds, receive an email from Experian - with a link to access and complete their background checking application form.

The application form will remain open for 28 days. If it's not completed within this time, the application will automatically cancel.



If there were any issues when trying to start the background check, you will see the status, "Failed". The error-message should indicate what caused the error, allowing you to adjust the trigger, and try again.



Inside Experian - you will see the new candidate reflected in the Applications Summary, added in the "Not Started"-category.

Once the candidate start with the background check application, the status will reflect and move to "In Progress", and "Completed", once they have finished it.


Once the candidate has completed the background check application - the partner result inside Teamtailor will update to "Completed" as well, allowing you to click on the "Candidate report"-button and quickly access the background check report.



Data transfer

The following data is sent from Teamtailor into Experian.

  • Candidates first name (Required field)

  • Candidates last name (Required field)

  • Candidates email-address (Required field)

  • Products (Required, selected when configuring trigger)

  • Title (Required, selected when configuring trigger)

  • Employement Sector (Optional, selected when configuring trigger)

  • Additional Proof Document Type (Optional, selected when configuring trigger)

  • Identity Proof Document Type (Optional, selected when configuring trigger)

  • Country (Optional, selected when configuring trigger)

  • Identity Proof Reference Number (Optional, selected when configuring trigger)

  • "Documents verified by" (Optional, selected when configuring trigger)

  • Start date (Optional, selected when configuring trigger).

    You can also decide to enable these options when configuring the trigger:
    "Original Documentation Seen and/or Proceed with Digital Identity"
