By activating the Fourth Onboarding integration, you'll be able to add triggers in Teamtailor that automatically invite candidates for onboarding. The integration will pre-fill the onboarding form and contract with the candidate data you already have in Teamtailor. After the candidate completes the onboarding in the Fourth Onboarding app this will automatically create record in FourthHR.

Note: for this integration you need the Fourth Onboarding module. The candidate data doesn't directly transfer into FourthHR.
Getting started in Teamtailor
To enable the integration between Fourth Onboarding and Teamtailor, you connect your existing Fourth Onboarding account to Teamtailor through our Marketplace page.
Search for Fourth Onboarding and click 'activate'. This will redirect you to the activation form. Here you fill in your Fourth Client ID, Client Secret, Organisation ID and Company Name. These details can be found in Fourth, or by contacting your Fourth account manager.
Set up custom candidate fields
You can transfer several (custom) candidate fields from Teamtailor to Fourth Onboarding and the contract (and thus eventually into FourthHR).
For this you need to set up some custom fields on your Teamtailor account. Go to the settings in your Teamtailor application and find 'custom fields'. Click 'new custom field' to start adding custom candidate fields.
Note: In Teamtailor every custom field has a 'title' and an 'api name'. You can set the title to anything you like, but you have to make sure the 'api name' exactly matches the requirements.
Make sure to use the exact wording for the api-name of the custom candidate fields. This is required for the system to understand where to put the data in Fourth Onboarding. You can set the api-name under the api settings when creating the custom field.
Mandatory custom fields for Fourth Onboarding
The fields first name, last name, email, phone, and start date are mandatory for this integration. These fields always need to be filled for the transfer to Fourth Onboarding to work.
The mandatory fields first name, last name, phone, and email are default fields in Teamtailor, and hence don't need to be created. These fields do need to be filled out for each candidate for the integration to work.
The custom field 'start date' is also mandatory. Create a custom field with the type 'date' and api-name 'start-date'. The title of the custom fields is flexible for you to decide.
Optional custom fields - COMING SOON
Besides the mandatory fields the integration will soon also supports several optional custom fields. Once released you will find the list of optional custom fields below.
Set up the trigger in Teamtailor
Now the integration is activated you can head over to one of your jobs in Teamtailor. From the applications view, you should click on the Triggers symbol (1).
Select the stage from which you want the transfer to trigger by clicking the ➕ (2) in that stage. Candidates that are moved to this stage will be automatically be receiving an invite to join Fourth Onboarding via SMS.
In the trigger you will configure several settings. These settings allow you to connect the candidate to the correct organisation, division, job, etc..
Manual trigger of integration
In some cases, you might want to trigger the integration, without moving the candidate between stages in your job.

To trigger the integration manually while viewing any candidate - click on these three dots and then select the option, "Add integrations".
A new pop-up page will appear, where you can select which integration to trigger. Select Fourth Onboarding to proceed - and then, configure the settings. You can also use the bulk-feature to manually trigger the integration on several candidates at once, even candidates who are part of different jobs.
This method will immediately trigger the integration on the candidate, without having to moving them between stages in your job.
Using the integration
Now it's time to start using the integration and invite candidates into Fourth Onboarding. The candidate is invited via a link in an SMS from Fourth Onboarding. After the candidate completes the onboarding form they can also sign the contract in the Fourth Onboarding App. At the end of process their employment record will be created in FourthHR.
Note: the creation of the employment record between Fourth Onboarding and FourthHR is not part of the integration. For support on this part you need to reach out to Fourth.
Triggering the integration in Teamtailor
After triggering the integration the Fourth Onboarding result l will show on the candidate card in Teamtailor. The status will be set to 'Sent' and means that the candidate will receive an SMS text with a link to start the Fourth Onboarding.
Update onboarding
After triggering the integration you're still able to make updates to the candidate data, and sync this into Fourth Onboarding by clicking 'Update onboarding'. This for example allows you to update email or phone number of the candidate. The candidate will receive a notification from Fourth Onboarding that the onboarding is being updated.
Note: you first update the data in Teamtailor, and then sync by clicking Update onboarding.
Cancel onboarding
By clicking 'cancel onboarding' you can fully stop the onboarding for this candidate. The candidate will no longer be able to complete the Fourth onboarding form. The candidate doesn't get notified about cancellation by Fourth Onboarding.
Candidate experience in Fourth Onboarding
The candidate will receive an SMS text with a link to open their Fourth Onboarding. The candidate will be presented with the onboarding form for them to review and complete. The form will already be pre-filled with some of the data you have transferred from Teamtailor.
