Chat with candidates directly through Teamtailor by connecting your WhatsApp Business Account. Just like with email and SMS, the WhatsApp conversations will appear under Messages, keeping everything in one place.
WhatsApp requires businesses to collect consent from recipients before starting a conversation. Consent requests are built right into our platform, so you can stay compliant and keep the conversation going without any hassle.
A Company Admin user needs to activate this feature in the Add-on feature center to get started. Please note that this feature may come with an additional cost.
Set up WhatsApp
In order to use WhatsApp as a communication method, you first need to have a number generated from our SMS feature.
We provide the SMS feature in collaboration with Twilio Inc (Twilio). Read more about what that means here.
Once the SMS feature is activated, you can initiate the setup under Settings → Company → WhatsApp by clicking Get started.
The WhatsApp messages will use the same number generated for SMS as the sender. To complete the setup, you need to connect a WhatsApp Business Account (WABA) to your Teamtailor account.
Clicking Continue with Facebook will guide you through creating or selecting an existing Facebook Business Portfolio and setting up a WhatsApp Business Account (WABA). If your company already has a Facebook Business Portfolio, please log in with an account that has access to the business so you can select it.
If you don’t have a Facebook Business Portfolio, you will be guided through creating one. After selecting or creating a portfolio, you will then be asked to create a WhatsApp Business Account (WABA).
Credits
You need credits to send and receive WhatsApp messages with your candidates. One credit equals one incoming or outgoing message.
You can view your current balance and purchase more credits under Settings → Company → WhatsApp.

Send WhatsApp messages
Once the setup is completed, you can start using WhatsApp in Teamtailor.
You may need to update your privacy policy to include WhatsApp communication with candidates. Learn more about how to customize it here.
Initial consent
WhatsApp requires businesses to collect initial consent from recipients before contacting them. To support this, candidates will have the option to provide their consent when they are added to your platform.
Job application
When a candidate applies for a job, they will have the option to give their consent in the Personal information section before submitting their application.
Connect
Connected candidates will find the option to give their consent in the Connect dashboard settings.
Sourced candidates
For candidates added manually to the platform, you will see the option to send an email request for their consent under WhatsApp in the Messages tab on the candidate card.
Message requests
Once the initial consent from the candidate has been collected, you will be able to initiate a conversation with them under the Messages tab on the candidate card or the Message inbox.
Before your message is delivered, an automatic message request required by WhatsApp will be sent.
The pending message will be displayed in yellow while waiting for the candidate to accept the request
Once the candidate responds to the automatic message, they accept the request, and your message will be sent to them.
If the candidate doesn’t respond to the automatic message request within one hour, the message will be sent via email as a fallback to ensure it reaches them.
Ongoing conversations
Once the candidate accepts the automatic message request, you can reply within a 24-hour window from their last response. If this window expires, a new automatic message request will be sent.
Messages are sent immediately when the “Ongoing conversation” indicator appears
Bulk feature
You can send a WhatsApp message to multiple candidates at once using our bulk feature, either within a job process or from the Candidates tab. Simply activate the bulk feature (1), select the desired candidates (2), and click Message in the action bar (3).
Here you can write your message and click Send message when it’s ready. Candidates without a phone number or without initial consent will receive the message via email instead.
Trigger
Set up a trigger to automatically send a WhatsApp message during your recruitment process. Activate trigger mode (1), click + Add trigger on the desired stage (2), and select Send message (3).
Once added, all candidates moved to the stage where the trigger is set will receive it. By default, candidates without initial consent or a phone number will receive the message via email instead.
