Communicate with your candidates in Teamtailor using WhatsApp

Send WhatsApp messages to your candidates directly from Teamtailor, streamlining your recruitment process

Chat with candidates directly through Teamtailor by connecting your WhatsApp Business Account. Just like with email and SMS, the WhatsApp conversations will appear under Messages, keeping everything in one place.

WhatsApp requires businesses to collect consent from recipients before starting a conversation. Consent requests are built right into our platform, so you can stay compliant and keep the conversation going without any hassle.

A Company Admin user needs to activate this feature in the Add-on feature center to get started. Please note that this feature comes with an additional cost of use.

Set up WhatsApp integration

To begin using WhatsApp as a communication method in Teamtailor, you need a phone number. This can be set up in one of the following ways:

Use number from SMS feature

You can use a phone number generated through Teamtailor's SMS feature to set up WhatsApp.

A Company Admin user needs to activate the SMS feature in the Add-on feature center.

This feature will be ready to use once the information you provide during setup has been approved by Twilio. Please note that approval times vary depending on the selected country.

Once the SMS feature has been activated for your account, navigate to Settings → Company → WhatsApp and click Get started to begin the setup process.

The WhatsApp messages will use the same number generated for SMS as the sender. To complete the setup, you need to connect a WhatsApp Business Account (WABA) to your Teamtailor account.

Clicking Continue with Facebook will guide you through creating or selecting an existing Facebook Business Portfolio and setting up a WhatsApp Business Account (WABA). If your company already has a Facebook Business Portfolio, please log in with an account that has access to the business so you can select it.

If you don’t have a Facebook Business Portfolio, you will be guided through creating one. After selecting or creating a portfolio, you will then be asked to create a WhatsApp Business Account (WABA).

Use your own number

If you prefer to use your own WhatsApp number instead of a number provided through Teamtailor's SMS feature, you can connect it via Settings → Company → WhatsApp. Once the feature has been activated in the add-on feature center for your account, select Use your own number and follow the setup steps below.

Start by entering the phone number you want to use and click Continue with Facebook. You will then be redirected to a Meta login page, where you can sign in to your business account.

Create a WhatsApp Business Account

Once your account has been identified, click Continue as [Company Name].

On the next page, you'll be asked to grant Teamtailor and Twilio access to your WhatsApp Business Account by clicking Get Started.

Next, select your Business portfolio from the first dropdown menu. Then, select Create a WhatsApp Business account from the second dropdown menu. Do not select an existing WhatsApp Business Account, as this will prevent the setup from being completed correctly.

Next, enter the phone number you want to use under Add a new number and verify it using either a text message or a phone call.

If you're using the integration via our SMS feature, this step will be skipped.

The final step is to review the access granted to Teamtailor and click Finish.

Once the setup is complete, your WhatsApp Business Account will appear under review under Settings → Company → WhatsApp in Teamtailor. Once the review has been completed, the integration will be activated and ready to use.

Send WhatsApp messages

Once the setup is completed, you can start using WhatsApp in Teamtailor.

You may need to update your privacy policy to include WhatsApp communication with candidates. Learn more about how to customize it here.

Messaging credits

Sending and receiving WhatsApp messages requires messaging credits. Each incoming and outgoing WhatsApp message costs 1 credit, regardless of message length or the characters used.

You can view your current credit balance and purchase more credits under Settings → Company → WhatsApp.

Initial consent

WhatsApp requires businesses to collect initial consent from recipients before contacting them. To support this, candidates will have the option to provide their consent when they are added to your platform.

Job application

When a candidate applies for a job, they will have the option to give their consent in the Personal information section before submitting their application.


Connect

Connected candidates will find the option to give their consent in the Connect dashboard settings.

Sourced candidates

For candidates added manually to the platform, you will see the option to send an email request for their consent under WhatsApp in the Messages tab on the candidate card.

Message requests

Once the initial consent from the candidate has been collected, you will be able to initiate a conversation with them under the Messages tab on the candidate card or the Message inbox.

Before your message is delivered, an automatic message request required by WhatsApp will be sent.

Once the candidate responds to the automatic message, they accept the request, and your message will be sent to them.

If the candidate doesn’t respond to the automatic message request within one hour, the message will be sent via email as a fallback to ensure it reaches them.

By hovering over the pending message, you can choose to send it immediately as an email or SMS, or delete it.

Ongoing conversations

Once the candidate accepts the automatic message request, you can reply within a 24-hour window from their last response. If this window expires, a new automatic message request will be sent.

In addition to text and emojis, the following types of content are supported, which will appear as attachments in Teamtailor:

  • Images

  • Videos

  • Stickers

  • Audio

  • Documents

  • Contacts

Content that isn’t supported won’t be displayed in Teamtailor, but will instead appear as follows:

Bulk feature

You can send a WhatsApp message to multiple candidates at once using our bulk feature, either within a job process or from the Candidates tab. Simply activate the bulk feature (1), select the desired candidates (2), and click Message in the action bar (3).

Here you can write your message and click Send message when it’s ready. Candidates without a phone number or without initial consent will receive the message via email instead.

Trigger

Set up a trigger to automatically send a WhatsApp message during your recruitment process. Activate trigger mode (1), click + Add trigger on the desired stage (2), and select Send message (3).

Once added, all candidates moved to the stage where the trigger is set will receive it. By default, candidates without initial consent or a phone number will receive the message via email instead.

Incoming WhatsApp conversations

All incoming WhatsApp messages from candidates appear in the Messages inbox, keeping communication centralized alongside email and SMS conversations.

Candidates can also initiate contact by sending a WhatsApp message directly to your company's number.

If the phone number does not match an existing candidate, a new Lead candidate is created, and a conversation thread starts. This allows your team to manage and respond to incoming WhatsApp inquiries in Teamtailor, even when the sender has not previously applied for a job or been added to your candidate database.

Open a WhatsApp conversation with a candidate

When viewing a candidate's profile in Teamtailor, you can quickly start a WhatsApp conversation directly from their phone number. Hover over the candidate's phone number and click the WhatsApp icon.

Without the WhatsApp integration

If you are not using the WhatsApp integration, clicking the WhatsApp icon will open a conversation with the candidate in your WhatsApp desktop application (provided WhatsApp is installed on your computer).

Note that messages sent through your WhatsApp desktop application are not visible in Teamtailor.

With the WhatsApp integration enabled

If you have connected WhatsApp to Teamtailor, clicking the WhatsApp icon will instead open the Messages tab on the candidate card and start a new WhatsApp conversation directly within Teamtailor. Read more on this here.
