A Company Admin user needs to activate Co-pilot in the Add-on feature center to get started.
Note that the feature is set up using the Triggers feature.
With the Request missing info trigger, Co-pilot identifies information missing from a candidate's profile based on the information you've selected as important for processing their job application. It then sends the candidate a questionnaire asking them to provide the missing information.
Once the candidate responds, their answers are automatically added to their profile. Screening criteria can then be re-evaluated, and relevant fields and personal information are updated based on the new data.
Set up a trigger
Missing information can be requested at any stage of your recruitment process. This helps ensure candidate applications are complete and ready for you and your team to review.
Open the job in question and click the three dots on the stage where you want to add the trigger. Under Triggers, select Request missing info.
The Request missing info trigger is especially powerful when combined with the Smart move trigger based on screening criteria. Together, these features can help automate your screening workflow by collecting missing information from candidates, evaluating their responses, and automatically moving them to the assigned stage based on the results.
What to ask about
You can choose which types of information Co-pilot should look for. Missing information can be identified across the following four sections:
Application questions
Unanswered questions from the application form, either when applying or for candidates who have been sourced.
Screening criteria
Screening criteria added to the stage that couldn't be evaluated based on the information currently available, or where additional information is needed to determine whether the candidate meets the criteria.
Custom fields
Empty candidate custom fields that have Automatic updates enabled.
Fields that are already covered by a question selected in another section are greyed out, so candidates aren't asked for the same information twice in one questionnaire.
Personal information
Missing details from the candidate profile, including:
Phone number
Address
LinkedIn profile
Resume
Co-pilot will not ask candidates for age, nationality, marital status, health information, or other information that cannot lawfully be used to support a hiring decision.
Maximum questions
Set the maximum number of questions that can be generated in each questionnaire. This limit applies across all four sections combined.
If a resume is missing, the candidate will always be asked to upload one first. Co-pilot then works through the selected sections in the order shown above, generating questions until the maximum number is reached.
Add the email subject and message that you want to send with the questionnaire.
You can use the following placeholders:
{first-name}{last-name}{job-title}{company-name}
Candidate information updates
Once the candidate submits their answers, the information is automatically added to their profile. Depending on what was requested:
Screening criteria are re-evaluated.
Custom fields are updated if empty.
Personal information and resume are added if missing.
This ensures the candidate's profile contains the information needed to continue the screening and recruitment process.
The questionnaire, along with the answers provided, will be added under the Questions section on the candidate card.
