Create and view a requisition

Submit a requisition for approval to start a recruitment process

Our Requisitions feature enables your company to use a customizable form that needs to be filled out and approved before any user can create a new job. Allowing you greater control over what jobs are published, while also documenting and tracking relevant job data effectively. You can read more about it here.

A Company Admin user needs to request this feature to be added by your Teamtailor contact person or support team. Please note that this feature may come with an additional cost.

Here is where we dive into how to fill out the form to create a new requisition.

Create a new requisition

Before starting a new job process, you need to create a requisition. Begin by navigating to the Jobs tab and clicking + New requisition on the right side of your screen.

You will then be prompted to complete a form that includes Key requisition details and Other Details. The Key requisition fields are default fields, while the Other Details are additional fields created specifically by your company. The information you provide here will be used when creating a new job.

If you’re uncertain about any details, you can save the requisition as a draft first. This allows you to make edits without notifying the approver. When ready, submit it to trigger the approval process for the latest version.

The information in the Key Requisition details will also be used to pre-fill the matching fields when creating a new job.

Among these fields, some have special significance you should be aware of:

Field

Description

Job Description

The information in this field will not be used when creating a new job. This allows you to create a description of the job for internal purposes only.

Expected number of hires

Once the number of hired candidates matches this value, the requisition status will change to Completed.

No new jobs can be created from it, and no additional candidates can be moved into the Hired stage.

Recruitment Lead

The selected user here will be notified as soon as the requisition has been approved and can access the requisition through that notification or a created job.

As you fill out the form, you will see who will be asked to approve your requisition based on the country, location, department, role, and salary you have entered.

Once you complete the form, submit it to trigger the approval flow. The approvers will then be asked to approve or deny the requisition. For more details on this process, you can read further here.

View a requisition

When you click a requisition in the Requisitions overview, its information is organized into several tabs for easy navigation. Below is an explanation of each tab.

Details

The tab displays the information entered by the requisition's creator, such as the title, location, salary, and the number of expected hires and the custom fields.

Below these details, the requisition creator and Company Admin users can archive or unarchive the requisition and assign an archive reason to provide additional context.

Edit a requisition

The requisition creator and Company Admins can also edit the requisition, for example, if the number of positions should be changed. Any changes will be clearly displayed in this tab here and can be compared to the previously given information.

The approval process will restart automatically.

Approval flow

The next section shows the progress of the approval flow, indicating which users have approved or denied the requisition and their comments. Here you see (1/2), which means that one of the two approval steps has been completed. If the requisition is not yet fully approved, the option to edit the approval flow can be found here as well.

Resubmit a requisition

If your requisition is denied, you can review the denial comments under the Approval Flow and Activity History tabs in your requisition.

To address the reason and restart the approval process, go to the Details tab.

From here, scroll to the bottom of the page and click on the Edit requisition button. Make the necessary changes, submit the requisition again, and the approval flow will restart.

Archive a requisition

Once the hiring process is completed, the creator can archive the requisition now, removing it from the default view of the requisitions overview tab.

The option to archive a requisition is under the Details tab when opening the requisition you wish to archive.

Click on Archive Requisition and select a reason for the action. The requisition will be archived, and the details of when and why it was archived will be displayed under Details. You will also have the option to unarchive the requisition to undo this action.

Jobs

Here, you can create a job once the requisition is approved by clicking + Job.

You can also view any already created jobs from the requisition and navigate directly to them by clicking on their titles. The number next to the tab header indicates how many jobs have already been created without the need to open the tab.

If you use a job template when creating a new job, the information from the template will override any details provided in the initial requisition. But you can always view the requisition details in a dedicated tab within the job editor to compare.

Hires

This tab displays the number of candidates hired across the jobs created from this requisition. Here again, the numbers next to the tab header show how many candidates have been hired out of the total number needed.

Activity history

Lastly, you can insights into the activity made in this specific requisition. Comments from the approvers when approving or denying the request will show here as well.
