Our E-signature feature allows you to offer candidates and users the ability to sign job offers and onboarding documents directly through Teamtailor. When activating this add-on, you agree to the following terms:

These Terms for the E-signature feature (the “Terms”) apply to the use of Teamtailor’s E-signature feature (the “Feature”) by a customer (the “Customer”) of Teamtailor AB (”Teamtailor”), under the service agreement according to which Teamtailor provides an applicant tracking system and employer branding platform (the “Service”) to the Customer (the “Service Agreement”).

These Terms apply only to the Customer’s use of the Feature. They constitute an integral part of the Service Agreement, and unless otherwise is expressly stated in these Terms, the Service Agreement will remain unchanged between Teamtailor and the Customer.

In case of any inconsistency or conflict between these Terms and the rest of the Service Agreement, these Terms have priority.

By agreeing to these Terms, you're confirming that you have the authority to enter into this agreement on behalf of the Customer you represent.

Compliance with eSignature standards

Signatures executed in the Feature fulfill the requirements on Simple Electronic Signatures under the EU eIDAs regulation (the “eIDAS SES Standard”).

It’s fully up to each Customer to assess and ensure, and Teamtailor takes no responsibility for assessing or ensuring, whether signatures that fulfill the requirements of the eIDAS SES Standard are appropriate and sufficient for the type of document(s) that the Customer is signing in Feature.

Lawfulness, suitability, binding effect

It’s fully up to each Customer to assess and ensure, and Teamtailor takes no responsibility for assessing or ensuring:

  • That the content of documents that the Customer signs or otherwise adds to the Feature is lawful, suitable and appropriate.

  • That the Customer complies with all applicable legal requirements in using the Feature, including but not limited to applicable laws on informing the signatories about the processing of personal data that the use of Feature involves.

  • Whether the documents signed in the Feature will become legally binding for the signing party(ies).

Document retention

One copy of each fully executed document will automatically be added to the Service. This stored copy will remain in the Service until the earlier of:

  1. the copy being deleted by a Customer representative;

  2. the context in which the copy is stored (e.g. the onboarding in which it’s stored) being deleted by a Customer representative;

  3. the candidate profile to which the document refers is deleted from the Service, manually or automatically: and

  4. all Customer data being deleted from the Service, after termination of the Service.

It’s fully up to each Customer to assess for how long the Customer should retain such copies in the Service, and to create and apply processes for ensuring that the copies are deleted (only) when needed. Teamtailor takes no responsibility in this regard.

Changes

We reserve the right to modify these Terms and the Feature at any time, without notice.

For any material changes to these Terms, we will provide you with fourteen (14) days prior notice by informing you about the change. The change will take effect fourteen (14) calendar days after the notice.
