Getting started
To activate the integration, navigate to the marketplace - accessible from any page within your Teamtailor dashboard, by clicking on your company name at the top right corner.
Inside the Marketplace, locate the Xref card by either searching for it directly in the search bar, or navigating through our categories. Click on the Xref-icon to read more about the partner, and also activate the integration.
Once you have clicked on the Activate, you will need to fill the required credentials, in order for activation process to start.
The Xref API key is located in your Xref dashboard, by navigating to My account, and then locating the Xref API Key-section.
When you finished populating the credentials in the activation pop-up, click on Update - Congrats, you and your team are now ready to use the integration from Teamtailor!
Setting up the workflow in Teamtailor
There are two ways to use the integration inside Teamtailor.
Automated Triggers
Enter any job or job-template you wish to add the Xref-trigger to.
Add a new trigger, and select the option Send Xref Webhook from the drop-down menu. In the pop-up page that appears, you will be asked to select a Criterion and fill out the role, referring to the job position the candidate has applied to (can be customised).
Click on Add trigger - to finalise the setup of the trigger.
Once the trigger has been added to the stage inside the job, any candidate that is moved to the stage containing this trigger, will be sent to Xref, commencing the background/reference-check, based on the configured Criteria inside Xref.
Manual trigger of integration
In some cases, you might want to trigger the integration, without moving the candidate between stages in your job-process, eliminating the need of a trigger in this case.
To do so, while viewing any candidate - click on these three dots:
Click then on the option Add integrations.
A new pop-up page will appear, where you can select which integration to trigger. Select the Xref icon to proceed - and then, as shown in section 1. - select the Criterion and role to associate the candidate with, and click on Send Webhook.
This will immediately trigger the integration on the candidate, without having to move them between stages.
What happens when the integration is triggered
In the activity section on the candidate-card in Teamtailor, you should see that the integration has been triggered on the candidate-card, and the timestamp of that action.
On the left side of the candidate card, you will be able to follow the status of the webhook/trigger. If the candidate was successfully sent to Xref, you will see the green status Sent. This means that you should be able to locate the candidate inside Xref and that the background/reference check has been initiated.
Once all referees have submitted their references - the status will update to Completed, and links will be generated to their reports, so you can access them directly from the candidate card in Teamtailor. You will also see the calculated score of the checks.
