Learn how to integrate Teamtailor with Ciphr

Overview

Ciphr is an HR, payroll and people management platform, and Teamtailor's integration lets you automatically send new hires from Teamtailor into Ciphr as part of your onboarding process. Once a candidate reaches the stage you choose in Teamtailor, their details are created as an applicant in Ciphr, so your HR team can pick up onboarding without re-entering data.

How to get started

Please note!
Before activating the integration, reach out to Ciphr Customer Care and ask them to update your whitelisting settings for your account. This allows Teamtailor to complete the connection to Ciphr.

To enable the integration between Ciphr and Teamtailor, you connect your existing Ciphr account to Teamtailor through our Marketplace page.

  1. Open your Teamtailor application and head over to the Marketplace.

  2. Search for Ciphr and click Activate.

  3. You will be redirected to the activation settings page. Fill in the fields below and click Update to complete the setup.

  • Ciphr Base URL: The web address of your Ciphr portal, for example https://customerportal.myciphr247.com.

  • Ciphr API Key: The API key for your Ciphr account. If you don't have one yet, reach out to your Ciphr contact.

  • ATS Integration ID (optional): An ID that Ciphr provides for your portal. It's used to send the candidate's CV to Ciphr.

Please note!
The ATS Integration ID is only needed for sending the CV. If you leave it empty, candidates are still created in Ciphr, just without their CV attached.

Once activated, you can find the Ciphr integration at any time under Settings > Marketplace activations, where you can update your credentials or custom field mapping.

How to use the integration

To start using the integration, add a trigger to the desired stage of your recruitment pipeline, for example your Hired stage.

  • ATS Integration ID (optional): If you work with more than one Ciphr portal, you can enter a different ID for this specific trigger. Leave it empty to use the value from the activation settings. When both are filled in, the value on the trigger is used.

Once you click Add trigger, the automation is set up. Every time a candidate is moved into this stage, they're created as an applicant in Ciphr.

If you prefer not to use automation, you can also send a candidate to Ciphr manually from a specific candidate card:

  1. Open the candidate card in Teamtailor.

  2. Click on More in the action bar and select Add integrations.

  3. Select Ciphr and send the candidate.

What happens next?

Whether you send the candidate via a trigger or directly from the candidate card, their information is sent to Ciphr and a new applicant is created there. You can follow the status of the integration directly on the candidate card in Teamtailor.

What data is shared

The following candidate fields are sent from Teamtailor to Ciphr:

  • First Name (sent to Ciphr as Forenames)

  • Last Name (sent to Ciphr as Surname)

  • Phone (sent to Ciphr as Mobile Number)

  • Email (sent to Ciphr as Home Email Address)

  • Resume (sent to Ciphr as a CV document, when an ATS Integration ID is set)

Mappable custom fields

You can also send additional information to Ciphr, such as personal, contact and employment details, by mapping your Teamtailor candidate custom fields to Ciphr fields. The mapping is done directly in the Ciphr activation settings:

  1. Go to Settings > Marketplace activations and open Ciphr.

  2. Click Show advanced settings.

  3. For each Ciphr field you want to use, select the Teamtailor custom field that holds that information. If you don't have a matching custom field yet, you can create one directly from here.

  4. Click Update to save your mapping.

Please note!
Ciphr requires both a Title and a Sex for every applicant. If these custom fields are not filled in on the candidate, the integration sends Mr as the title and Unknown as the sex. We recommend mapping both fields so the correct values reach Ciphr.

The table below lists all Ciphr fields available for mapping:
