Submit and manage Job approval requests

Learn how to request job approval and approve or deny requests

We're currently rolling out improvements to the job creation setup. As the update is being introduced gradually, your experience may differ from what's described in this article.

To learn more about the new job creation flow, see this article. If you have any questions or need help, please contact our Support team.

When your company uses Job approvals, new jobs need to be reviewed and approved before they can be created. This helps keep your hiring process structured and ensures the right people are involved before hiring begins.

To learn more about setting up the feature, check out our article here.

In this article, we'll walk you through how to request job approval, review incoming requests, and approve or deny them.

A Company Admin user needs to request this feature to be added through your Teamtailor contact person or support team. Please note that this feature comes with an additional cost.

Submit a job for approval

When creating a new job, you'll be asked to fill out information before submitting it for approval. The information you provide will determine which approval flow is applied and give approvers the context they need to review the request and decide whether to approve or deny it.

In the Additional details section, you can fill out more information based on the fields your company has chosen to include. Required fields are marked with an asterisk (*).

You may also find additional optional fields under the toggle. These can help provide more context and may be used later on in the recruitment process.

Finally, in the Note section, you can share additional information about the job or hiring process with the approvers.

Once you've filled out all the required information, click Submit for approval to send your request to the approvers.

Approval status

Once the approval request is submitted, the job will be set to Pending approval, and the approvers will be notified. As the request moves through the approval flow, its status will be updated to Approved or Denied.

You can follow the approval progress at any time from the job or from the overview under the Jobs tab.

Here you can also apply a specific approval status as a filter to easily find your pending jobs.

Create a job

Once your request is set to Approved, you will see the option to create the job, allowing you to start setting up the recruitment process and configure the job ad.

Resubmit a job for approval

If the job approval is Denied or changes are needed, you can edit the job and resubmit it for approval. This will restart the approval process and notify the approvers.

The proposed changes will be highlighted in yellow both in the job details and job editing mode, along with the approval flow.

Find jobs awaiting your approval

If you have been added as an approver in an approval flow, you will be asked to review job requests. Once the job request is submitted, you will receive a notification in the app, but you can also opt in for more options in your notification settings. Clicking the link in the notification will direct you to the job.

Here, you can review all the job details and choose whether to approve or deny the request at the bottom of the window.

You can also see all jobs awaiting your approval in the overview under the Jobs tab. On the right-hand side, use the Approver filter and select Awaiting my approval.

Approve or deny a job

When a job approval request is awaiting your approval, you’ll see this indicated on the job, along with Approve and Deny buttons. After reviewing the job details, you can choose whether to approve or deny the request.

If everything is in order, click Approve at the bottom of the page to complete the approval step. The job will be marked as Approved and, if there are additional approval steps, the request will move to the next step. You can also add a comment for the next approvers and the job requester to provide any additional information.

If it becomes necessary to reject the request, click Deny. This will open a feedback box where you can provide details explaining your decision. The job will be marked as Denied, and a notification with your feedback will be sent to the job requester.

The job requester or a Company Admin can then edit the job to incorporate your feedback and resubmit it for approval. Once resubmitted, the approval flow will restart from the beginning.

Edit approval flow

Company Admins and approvers with the Approvers from this step can edit the flow permission can edit the approval flow for a job. This may be useful if an approver, for example, is on leave and needs to be replaced.

Proposed changes to a job

Apart from the initial approval required to create a job, you may also be asked to approve changes made to an existing job.

When changes are made to a job, the updated job details will need approval through the approval flow. You can review the proposed changes in the job details view in the job and choose whether to approve or deny the request.

If the changes are approved, they will be applied to the job. If they are denied, the job requester will receive a notification with the feedback provided.

Designate a substitute approver

To keep approval flows moving while you’re unavailable, you can assign a substitute approver to handle your approval requests. This can be useful when you’re on leave or vacation.

You can set up a substitute approver through your user status settings.

Any approvals made by the substitute approver will be recorded on your behalf.
