We're currently rolling out improvements to the job creation setup. As the update is being introduced gradually, your experience may differ from what's described in this article.
To learn more about the new job creation flow, see this article. If you have any questions or need help, please contact our Support team.
Once you've created a job, you'll be able to configure the job ad for your career site. Create a good candidate experience by defining the content, customizing the design, and configuring the application form.
Configure job ad
You'll be presented with the option to configure the job ad directly after creating a job. You can also access it by opening the job from the Jobs tab and choosing Edit job ad from the menu in the right-hand corner.
As you work through the setup, you can move between the different steps and save your progress as a draft at any time using the bottom navigation.
The left-hand navigation displays all steps in the job ad setup, allowing you to easily switch between them. At the bottom, you can also preview the job ad as you work on it.
Posting
In the first step, you'll create the main content of the job ad. This is where you introduce the role, explain why candidates should apply, and set clear expectations about the position and who you're looking for.
Field | Description |
Job ad title | The title displayed on your career site and used when promoting the job. |
Pitch | A short introduction displayed at the top of the job ad to encourage candidates to keep reading. |
Job description | Use headings, lists, images, GIFs, and videos to create an engaging job description. |
Job ad language * | Select the language of the job ad to determine which version of your career site it will be published on. |
Response time | Set an expected response time to let candidates know when they can expect to hear back. Choose a time between 2 hours and 1 month. This setting does not affect your recruitment process—it is only displayed to candidates. |
Standard job fields | Choose which standard job fields should be displayed in the external job ad. The available fields are based on the selections made in the job. |
* Available when using our add-on feature Multiple languages.
Appearance
In this step, you'll customize the appearance of the job ad. Choose a job ad template, decide whether to display colleagues, and add an image or video to create a visually engaging candidate experience.
Field | Description |
Job ad template | Select the job ad template that determines the layout and appearance. |
Colleauges | Display colleagues at the end of the job ad to introduce potential future teammates to candidates. |
Button text | Customize the text displayed on the application button. If left empty, the default text "Apply for this job" is used. |
Text color | Choose the color of the text displayed in the top section of the job ad. |
Background image | Upload an image to use as the background in the top section of the job ad.
Use a high-resolution image for the best result. Common image formats are supported, for eg. .jpg, .png, .gif, and .tif. |
Video background / Mobile video | Upload a video to use as the background in the top section of the job ad. You can also add a separate version optimized for mobile.
Maximum file size is 300 MB. |
Overlay color | Select the color of the overlay applied to the background image. |
Overlay opacity | Adjust the transparency of the overlay applied to the background image. |
Application
Time to configure the application form that candidates use to apply for the job. Choose what personal information to collect, add application questions, and define the information you need to manage the applicants.
Personal info
Start by deciding what personal information you want to collect from candidates and specify whether each field should be Off, Optional, or Mandatory in the application form.
Field | Description |
Name | Display separate fields for first name and last name. |
Collect the candidate's email address. This field is always required to ensure you can communicate with the candidate throughout the recruitment process. | |
Phone | Allow candidates to provide their phone number. |
Address | Allow candidates to search for and provide their address. |
Resume | Allow candidates to upload a resume as part of their application. |
Additional files | Allow candidates to upload additional documents, for eg. certificates or portfolios. |
Cover letter | Allow candidates to include a cover letter with their application. |
Questions
Next, decide which questions to include in the application form and whether each one should be Optional or Mandatory.
Select from your existing questions or create new ones specifically for this job ad. Learn more about the different question types here.

Advanced settings
If you want candidates to apply through an external applicant tracking system, enter the application form URL in this field. When candidates click Apply, they will be redirected to the external application form.
Responses
Next, configure the response messages for the job. These messages are sent to candidates who apply to this job ad. You can use the default message templates or customize the messages specifically for this job by ticking Custom reply message.
There are two types of response messages:
Auto reply message: Automatically sent to candidates when they submit their application.
Reject message: Sent when a candidate is no longer being considered for the role. Learn more about rejecting candidate applications here.
Candidate interaction
If you're using the Candidate interaction add-on, this step will be available in the job ad editor. It allows you to enable a chat widget in the job ad, giving potential candidates an easy way to ask questions before applying.
Candidate chat
When enabled, the candidate chat appears as a widget in the bottom-right corner of the job ad. If a visitor starts a conversation, a Lead candidate profile is automatically created in your candidate bank. You can continue the conversation from the notification, the Messages inbox, or the candidate card.
Video presenter
You can also add a short video of up to 2 minutes that is displayed in the job ad chat. This gives you and your team the opportunity to introduce yourselves and the role in a more personal way. When candidates click the video, they can immediately start the conversation by typing their question.
Publish job ad
When you're happy with the job ad, it's time to publish it in the right-hand side corner. Once published, the following will happen:
It will be published on your career site.
The job will automatically be sent to be promoted on the free channels you have enabled. Check your Marketplace to find out more.
An email regarding the published job ad will be sent to candidates who have connected with the Department, Role, and Location you've added to the job ad.
An email regarding the published job ad will be sent to all employees in the system with this notification setting enabled.
Schedule publishing
If you prefer, you can choose when the job ad should be published and when it should expire. You can configure either date independently or use both together. The job ad will automatically be published on the selected start date at 00:00 and removed from your career site on the selected end date at 24:00.
Unlist job ad
Choose Unlist to save the job ad without displaying it on your career site. No email notifications will be sent to employees or connected candidates when the job is unlisted. This is useful if you want to source candidates directly without advertising the role externally.
You can also unlist a previously published job ad to remove it from your career site while continuing to work with the recruitment process.
Ready to publish
Users with a Hiring Manager role don’t have access to publish jobs, so they will instead see a Ready to publish button. Clicking this sends a notification to the users with access to publish the role for them.
Next step
Once you've finished setting up the job ad, the next step is to configure the recruitment process if you haven't already.
After publishing the job ad, visit the Promote tab to explore promotions that can help increase its visibility and attract more applications.
