Set up the recruitment process

Configure the stages and workflow used to manage and evaluate candidates throughout the recruitment process

We're currently rolling out improvements to the job creation setup. As the update is being introduced gradually, your experience may differ from what's described in this article.

To learn more about the new job creation flow, see this article. If you have any questions or need help, please contact our Support team.

Once you've created a job, you can set up the recruitment process. Here you'll choose the hiring team, define the stages candidates move through, configure evaluations, and automate actions within the recruitment process.

This can be done both before and after configuring the job ad.

Configure hiring process

Start by opening a job under the Jobs tab and navigate to the Applications view.

From here, click Configure hiring process to start setting up your recruitment process.

Stages

The stages represent the different steps candidates move through after submitting their application.

The Inbox and Hired stages are default stages that are fixed and cannot be renamed, moved, or deleted. All stages between them can be customized. You can add new stages, rename existing ones, reorder them, or remove stages as needed to match your recruitment process.

When adding a new stage, you'll first select a stage type to categorize it. Stage types help organize your recruitment process into different phases and are also used for reporting in Analytics.

Stage options

Within each stage, you can configure actions, automate tasks, and enable features relevant to that stage of your recruitment process.

Option

Description

Change the stage type to categorize the stage within your recruitment process.

Set a goal for the maximum amount of time a candidate should remain in this stage before being moved.

Set a deadline for when a stage should be completed in your recruitment process.

Enable the option to reject candidate applications using a predefined reject reason and message, helping you streamline the rejection process.

Mask identifying details in candidate profiles to help reduce unconscious bias during candidate evaluation.

Delete stage

Remove the stage from the recruitment process.

Select interview kit *

Choose the interview kit that should be used to evaluate candidates in this stage.

Once selected, you'll see a preview showing the number of questions, skills, and traits included in the interview kit. Click the interview kit to preview its full contents.

Add trigger *

Add triggers to automate actions when a candidate enters this stage. Triggers can perform tasks such as sending emails, moving candidates, assigning to-dos, and more.

Triggers are grouped into Internal and External actions to help you quickly find the option you need.

Once you've added a trigger, you can configure additional options, for eg, whether it should run when a candidate enters the stage or is rejected from the stage.

* These options are available if you have activated them as add-on features.

Evaluation

Set up a Job scorecard by adding the skills and traits relevant to this role. Assign importance to help the hiring team determine which should be prioritized.

If your company has attached specific skills and traits to the selected role in the job, they will be automatically added to this section. Read more about this here.

If you're using our Interview kits feature, you can add existing interview kits or create new ones specifically for this job to evaluate candidates throughout the hiring process.

Additional settings

In the top-right corner, you'll find additional options and settings under the ⋮ (three dots) menu. These provide quick access to further customization and configuration for the job.

Hiring team

In the Hiring team section, you build the team responsible for managing the recruitment process alongside the selected recruiter for the job.

Members of the hiring team can view the recruitment process and its candidates. Any user added to a job's hiring team gains access to:

  • The job process under the Jobs tab.
Please note: Default Users can view the job but do not have permission to edit it.

  • All candidates who have applied to the job, including job-specific candidate data related to the recruitment process.

In the Hiring team section, you'll find two options:

  • Select group: Add a specific Group to grant all its members access to the job.

  • Add members: Add individual users who should have access to the job.

If you're unable to find a user in the drop-down list, it may be because:

  • The user hasn't been invited to your Teamtailor account yet.

  • The user hasn't accepted their invitation.

If you're a Company Admin, you can check the user's invitation status under the Employees tab.
