Job comments
One of the components of the recruitment process is the Job comments section, which is the place for you and your team to collaborate. It’s conveniently placed as a sidebar within each job, so you can keep your team discussions and comments seamlessly integrated with your recruitment process.
The Job comments section is available for all your hiring team members and is a great place to talk about everything related to this recruitment process to make sure you have everything in one place.
Add a job comment
Start by clicking Job comments located next to the hiring team within the job process. Here you will be able to find previously written comments by the hiring team members, and this is also where you can add your own comments.
Mention a team member/hiring team
Make sure to get the attention of the right team member/s, by adding a mention. Add a mention by clicking the @ button, or add it from your keyboard.
From here, you can select users with access to the job process to ping (Hiring team members and admin users). You can also add an @team mention to ping all hiring team members.
When mentioning a team member in the Job comments section, they will be notified through the Job comments overview, more on that further down here.
Add attachment
You have the option to add attachments to your comments. Just click the paperclip icon and select the file you want to attach.
Note that you need to add text in the comment in order to upload the comment/attachment.

Choose the visibility of a job comment
You can choose who will be able to view the comment to control visibility. To do so, pick which people should have access to the comment before posting it. The default setting is that everybody with access to the hiring team can see the comment, and is indicated with the earth globe icon right next to the post button.
To limit the visibility of the comment, click the earth globe and select which users should be able to see the comment. Keep in mind that all users with Company admin access will be able to see all comments, including private ones.
When a private comment is published, it is indicated with a padlock icon. Hover over it to see who can access the comment.
We believe private comments are a great way to limit the visibility of sensitive information. However, it’s good to use them with care, as it will exclude information from some members of the hiring team. Keep this in mind when carrying on with the conversation in the Job comments section.
Pin job comments
To make comments even more accessible for the entire hiring team, you can pin them. Hover over the comment, and click the pin icon like so:
You find all the job’s pinned comments added under Job comments in the job’s sidebar, with an indication of how many pinned comments there are. When hovering over the pin icon, the pinned comment/s unfold and can be read.
In the screenshot above, only one comment has been pinned. You can pin as many comments as you want, but the more you pin, the harder it might be for your team to easily digest the information.

Can I pin a private comment? Yes, you have the option to pin a private comment, but it will only be displayed for the users who can view the comment. |
I can’t see the pin icon in my job’s sidebar If the job doesn’t have any pinned comments, the pin icon in the job’s sidebar is hidden. As soon as a comment is pinned, it will appear for all users with access to the comment. |
Add emoji reactions
You can add reaction/s to any added comment. Simply, hover over the comment, and click Add reaction. You can also add the same reaction as another hiring team member, by clicking on the reaction already added.
In our own Teamtailor account, we ask all team members to react with 👍 or ✅ on comments where they are pinned, if they don't write an answer, to make sure the person who sent the comment knows the information has been received.
Edit/Delete a comment
After you have published a comment, you can edit or delete the comment. Hover over the comment and click the three buttons on the right-hand side.

What happens to the comments if a user is deleted? If you delete a user from your Teamtailor account, all the user's comments are intact and will be displayed as a Deleted user.

Job comments overview
All comments added by you and your hiring team within the different job processes can easily be found in the top right corner:
This view allows you to stay updated and have a good overview of the communication within your hiring teams.
Views
The Job comments overview includes different views to add additional structure and highlight where your attention is needed.

Unread | Here you will find all the unread messages in the job processes you are a part of. |
Mentioned | When you are mentioned through the Job comments section in a job process, this is where you will be notified. |
Pinned | In this view, you can find all pinned messages in all the job processes you are a part of.

General | This view includes all users added to a hiring team along with all Company Admins and Recruitment Admins. A great place for overall communication and collaboration.

My Jobs | This section gives you easy access to all the comments made in each job process you are a part of. |
Jobs* | This section displays jobs you have access to but are not part of the hiring team. |

Weekly summary
Every Monday morning (in your company’s default timezone), a snapshot of key job data is posted in the Job comments section and overview. This helps the hiring team quickly spot focus areas, track progress, and spark meaningful conversations.

It will display the following data:
Metric | Description |
Job ad views | This metric represents the total number of times the job has been seen by potential candidates during the last week. One candidate can have one view per day.
It helps measure how effectively your job listing is reaching your target audience. A higher number of views suggests that the job ad is attracting attention, while lower views may indicate a need to improve the job title, description, or promotion strategy. |
Applications | This metric represents the total number of job applications that have been submitted to the job during the last week.
It’s a key indicator of candidate engagement and the effectiveness of the job ad in attracting potential hires. High numbers of applications typically mean your job posting is appealing, while low numbers might suggest a need to improve the job description, requirements, or visibility. |
Conversion rate | This metric shows how well your job ad has converted visitors into applicants during the last week.
This can vary depending on the quality of your traffic and the types of roles you're hiring for. As you get to know your audience and refine your ads, you’ll likely see this conversion rate grow over time. |
Time in inbox | This metric shows the average number of days the candidates have stayed in the inbox during the last week. It includes the candidates who move forward, get rejected, or remain in that stage during the selected time period.
It’s a great indicator of how quickly your team responds to new applicants. |
Moved forward from inbox | This metric shows the percentage of candidates in the Inbox who moved to the next stage during the last week.
It helps you understand the quality of incoming candidates. A lower rate might indicate a need to adjust your job ad, try different job boards, or strengthen team collaboration. A higher rate suggests you’re attracting the right people from the start. |
If your company has set up goals, the data will also be shown in relation to the targets. Adjusting the goals will also update previous weekly snapshot reports.
