Text your candidates via SMS

Reach candidates faster and keep conversations moving with SMS

SMS is a quick way to communicate with candidates, especially those who are easier to reach on their phone or don’t check their email as often. In Teamtailor, you can enable SMS to send messages directly from your account.

A Company Admin user needs to activate this feature in the Add-on feature center to get started. Please note that this feature comes with an additional cost of use.

This feature will be ready to use once the information you provide during setup has been approved by Twilio. Please note that approval times vary depending on the selected country.

Setup

Once this feature is enabled, you will need to set up a number. Go to Settings → Company → SMS and click Get started to To start using SMS, you need to activate a number first. This process is completed in 2 steps.

  1. First up, select the country you want to generate a number for and send your text messages from.

    If your country is not supported, you can select the United Kingdom instead.

  2. Add the address you want the number to be associated with and click Save to submit the information.

Please ensure you add a street number to the address.

Approval process

Once the setup has been completed in Teamtailor, the information will be sent over to Twilio, and they will review it for approval. This is a mandatory step before the service can be used.

Please note! The information Twilio requires depends on the country selected during setup. For some countries, Twilio may request additional details or documentation, which can affect processing times.

If your initial request hasn’t been approved after 1 week, please contact Teamtailor Support.

Our provider

We offer the SMS feature in collaboration with Twilio Inc. (“Twilio”). In this context, Twilio acts as a sub-processor on behalf of Teamtailor when delivering the service.

In addition, Twilio processes certain personal data for its own purposes as an independent data controller. This is primarily due to its role as a cloud communications provider, which includes obligations to support telecommunications providers, regulators, and law enforcement in preventing spam and illegal activities.

Twilio must also comply with applicable legal, regulatory, and contractual requirements within the telecommunications industry. For more details on the purposes for which Twilio acts as a data controller, please refer to Twilio’s Privacy notice.

Sender alias

By default, SMS messages are sent from your generated number, which you can find under Settings → Company → SMS in your Teamtailor account.

When sending messages to candidates in other countries, some carriers may replace your number with a generic sender ID provided by Twilio. In these cases, we automatically include your generated SMS number in the message so recipients know where to reply. This additional line counts toward the total character limit but only applies when the candidate’s phone number is registered in a different country than your SMS number.

Send an SMS to a candidate

To send an SMS to a candidate, go to the candidate's profile and navigate to the Messages tab. Here, select the phone icon to switch to sending an SMS message. The message will be sent to the phone number added on the candidate card.

As you send your SMS, the message will turn green, making it easy to separate them from the pink messages sent as emails. When a candidate replies, you'll receive a notification similar to when you communicate via email and the candidate chat. 

Send SMS to multiple candidates

To send an SMS to multiple candidates at once, enable the bulk selector (1) and choose the candidates (2). Then click Message (3) in the bulk action bar and select SMS.

Your message will be sent to the phone numbers listed on the candidate cards.

If some selected candidates don’t have a valid phone number, you can choose to send the message as an email instead.

When sending bulk SMS messages, an opt-out option must be included. Therefore, this is automatically added to the end of the first message sent to each candidate. Please note that these characters count toward the total SMS character limit.

Credits and characters

When composing an SMS, a credit calculator appears in the bottom-left corner, showing the estimated cost in credits. The character count is displayed on the right, with a maximum of 1,440 characters per message. This helps you understand the credit cost of the message.

Each incoming and outgoing SMS costs a minimum of 1 credit. However, the exact number of credits varies depending on factors like message length, character type, and destination country. Keep in mind that emojis use more characters than standard text and may increase the cost.

Replies from candidates are not surcharged by Teamtailor, but additional fees for international messages may apply depending on your operator.

Credit balance

Credits are required for both sending and receiving SMS messages. When you’ve run out of credits, you will no longer be able to send outgoing text messages to your candidates. If you’ve messaged a candidate and your credit balance is down to 0, you will still be able to receive the texts from your candidates. You will then be put at a minus credit balance. Next time you refill your credits, you will repay the negative credits.

You can monitor your available credits and add more at any time under Settings → Company → SMS. When it comes to refilling your SMS credits, you can do this manually or automatically.

Credit pricing

Add credits to send and receive SMS messages to and from your candidates. Choose a package with the number of credits you want and click Purchase.

  • Small (1000 SMS): 80 USD

  • Medium (2,500 SMS): 180 USD

  • Large (10,000 SMS): 600 USD

Credit billing

In-app purchases (such as SMS credits) are purchased using the credit card you’ve added to your billing information. You find the settings for your billing under Settings → Company → Billing, where you can also edit your credit card information.

Manually add credits

To add more credits, simply click the Add more credits button right next to your credit balance and follow the purchase flow.

Auto renew credits

This option means your credit balance will be automatically renewed once it reaches a certain balance.

You can change how many credits should be added with each renewal by clicking Edit auto-renew.

Opt out message

Candidates can opt out of receiving further SMS messages. To inform them of this, you can add a short opt-out text at the end of your message. When sending a message using bulk select, an opt-out text is automatically included in the first message sent to each candidate.

Supported countries

Here you can see the list of countries where SMS is supported through our provider. The recipient’s phone number must have one of the listed country codes to send and receive messages.
