Connecting your calendar with Teamtailor simplifies the interview booking process, allowing you to concentrate on the interview itself. This feature streamlines scheduling by allowing you to set your availability and connect video services.
Connect your calendar
To get started, head over to Your account (1) and the Meetings (2) section. Here click Connect your calendar (3) to initiate the connection process.
Access mode
The first step is to select your preferred access mode with our third-party provider, Cronofy, which we use to connect your calendar.
If you’re unsure which access mode to choose, we recommend asking your internal IT team for guidance.
Read-Write access
This access mode is best suited for users who want a fully automated scheduling experience with no manual steps.
Level of access: With Read-Write access, Cronofy has full access to your user's calendar. It can see all details about existing events (including titles, attendees and times), create new ones, and automatically update or reschedule them when needed.
Calendar event creation: When a meeting is booked through Teamtailor, it appears directly on your user's calendar, and any changes are reflected automatically.
Free/Busy access
This access mode is best suited for organizations where IT or compliance teams haven't approved full calendar access. You still get the full scheduling experience, but you will need to manually accept meeting invitations.
Level of access: With Free/Busy access, Cronofy can see when you are free or busy, but cannot see any event details. It also cannot create, edit, or delete calendar events.
Calendar event creation: When a meeting is booked through Teamtailor, you receive a calendar invitation by email with an .ics file, which you will need to accept to add the event to your calendar.
Calendar provider
After your selection of access mode, you will find a list of the calendar providers/services available to connect with. Here, choose your calendar service and follow the instructions.
Connect your video services
Once your calendar is setup you can choose to connect an external video service to use for video meetings. By default, you have our built-in video service added. Simply click Connect video service to add an additional service.

Meeting settings
After connecting your calendar and configuring your video service(s), you can enable additional options to streamline your meeting booking process.
Calendar availability
The calendar/s toggled on under Calendar availability will be used to check available time slots when booking meetings.
If the email is connected to several calendars, you may also have to choose a Primary calendar under Meeting preferences. This will determine which calendar the booked meeting events will be added to.
Meeting preferences
In your meeting preferences, you can easily create default settings for your meetings. This means that all meetings you create will automatically have these settings set, saving you time and making the process smoother. You can always choose to customize specific meetings if you want.

Primary calendar | Select which calendar you want the meeting events to be added to |
Default location or video service | Set the default location or video service you want to have pre-selected when booking meetings |
Default duration | Set the default duration of meeting slots |
Time zone | Set the default time zone you use for booking meetings |
Default title | Set your preferred default title for meetings. The following placeholders are supported in the default meeting title:

Limit the number of meetings per day/week | Set the maximum number of meetings that can be booked with you in Teamtailor per day and/or week |
Set your working hours and availability
You also have the possibility to set your working hours and availability. This allows you to control which hours you are available for meetings booked in Teamtailor.
The changes you make are saved automatically. Also, if you need to at any point, you can disconnect your calendar at the top of your meeting settings page.
