In your Message Inbox, you see an overview of all ongoing conversations with your candidates, making it a great tool to make sure to stay updated on the relevant current communication!

Message Inbox

To access your inbox, select the paper plane icon located at the very top of the page, roughly halfway between the center and the right corner. This action opens the inbox on the left side of the screen, displaying your ongoing conversations with candidates.

Views

Your inbox is organized into two main views:

My messages

This view shows all the conversations you’ve actively participated in. It includes conversations where you have written to the candidate or that has been assigned to you.

Team messages

Team messages list ongoing conversations with candidates that you have been invited to view. It’s a useful way to follow conversations you and your colleagues are having. Conversations appear here if they belong to a team you are part of or if you’ve been specifically added to them.

  • Conversations within a job application will appear under Team messages for the entire Hiring team.

  • Conversations outside of a job application appear under Team messages for members of any related Groups.

Conversation statuses

When you’ve opened your Inbox and are viewing one of the mentioned views, you can choose exactly what type of conversation you want to view.

All

Lists all the active conversations

Unread

Lists all conversations that have not been read yet

Unanswered

Lists all conversations that you have read but have yet to answer

Archived

Lists all archived* conversations

* An archived conversation is any conversation that you have manually archived (or “closed”). However, if a candidate were to answer in an archived thread, it will pop back into action.

Conversation view

Now, let’s jump into the details of a specific conversation! First, you click the message to open the thread. This will look something like this:

Here, you can write your reply to the candidate, as well as see the incoming messages. Your and your team’s messages are pink, and the candidate's is light gray.

In the conversation view, you have different options available besides communicating with the candidate.

  1. Book a meeting with the candidate

  2. Open the candidate's full profile

  3. Archive the conversation when it’s been handled

  4. Open additional options, which include:

    1. Mark as unread:
      This sets the conversation as Unread.

    2. Reassign:
      Assign ownership of the conversation to another user. This means the message will move from your My Inbox view over to your colleagues, and they will be notified when the candidate answers.

    3. Add users: If you want a user to be a part of this conversation, you can include them here. This means they will see the conversation under Team messages. You can only add users who have access to the candidate.

Conversation access

When viewing a conversation, every user listed next to the subject line will have access to it. These are the users who have either been in contact with the candidate or have been manually added to the conversation.
