Say you have a role where a driver’s license is necessary. Just ask the question in the process, and then add the trigger Smart Move. Set up your Smart Move so that those who answered “Yes” are automatically moved forward in the process. Initial screening - done! So, let’s talk about automating your recruitment process with the Smart move trigger!

The Smart move automation can trigger based on two components: answers to questions and job offer feature.

Set up the trigger

Under the job's dashboard, click on the wand on the right-hand side (Triggers). Then, add the Smart move trigger in the stage you wish the automation to take place. First, decide if the move criteria should be based on answers to a Question or the status of a Job offer.

Disregarding the base of the move, you start by deciding what stage the candidate should be moved to if the criteria are met.

Smart move based on Questions

When adding a smart move based on questions/answers, you decide which stage the candidate should be moved to if the criteria is met, and if the move should be triggered if all or any answers are matched. Then, add the questions/answers that should trigger the move.

💡 In this example, a move will be triggered for candidates that answered Yes on the questions "Do you speak Swedish” and that who answered the video question, will automatically be moved to the stage Interview. Note that internal candidates will be excluded from this move.

Finally, choose if you want to limit the trigger to a specific section of candidates (for example exclude internal candidates) as well as if you want to add a delay. Adding a delay to the trigger means the move will hold for the set amount of time

Add multiple move criteria

The magic doesn’t end there, you will also be able to trigger different moves depending on the candidate's answer by adding another group.

In this example, a second group has been added, targeting the candidates that answered NO to the question if they speak Swedish but also answered the video questions. These candidates will be moved to the reviewing stage.

The first matched group will be used to trigger the move of the candidate, so make sure to place them in the right priority order.

Smart move based on the status of a Job offer

You also have the option to enable a smart move based on the status of a Job offer sent to the candidate. The statuses that can trigger the move are; Sent, Accepted, and Declined.

To set up the Job offer status smart move, you simply need to make a few decisions:

  1. Which stage the candidate should be moved to once the criteria are met?

  2. What status should trigger the move? If you want the move to happen once the candidate has accepted the job offer, set Accepted as the move criteria.

  3. Do you want the move to be applied to all candidates, or exclude a specific segment (such as internal candidates), and if you want the move to have any delay? Adding a delay to the trigger means the move will hold for the set amount of time.
