In this article, we'll show you how to set up triggers to automatically advance candidates through the job process.

Let's dive into how this automation can save you time and ensure that the most qualified candidates move forward seamlessly. Smart Move has you covered!

Set up the trigger

Access the trigger options in the job process directly on a specific stage through the menu or by enabling the Triggers wand up to the right-hand side.

The Smart Move automation can trigger based on various conditions, including:

Answers to questions

Move candidates forward based on their answers to questions.

Job offer statuses

Move candidates forward when the Job offer is Accepted / Declined or Sent.

Resume text

Move candidates forward if the resume contains certain keywords.

Location

Move candidates forward based on the Location(s) they picked in the application form.

Smart move based on answers to Questions

Let's say you have a role where a certain skill is necessary. Ask about this in the application form, and let the trigger Smart Move automatically move the relevant candidates forward in the process. Set up that those who answered in a certain way are automatically moved to another stage in the recruitment process. Initial screening - check!

🚀 Pro tip: Remember that you can also add questions that require a yes as an answer, for the candidate to complete the application form. You can read more about that here: Add qualifying questions to your application form

​Add the Smart move trigger in the stage you wish the automation to take place and decide the target stage for the candidate if the criteria are met. Specify if the move should be triggered by matching any or all answers.

Then, add the questions/answers that should trigger the move.

💡 In this example, a move will be triggered for candidates who answered Yes to the question "Do you speak Swedish” and those who answered the video question, will automatically be moved to the stage Interview.

Add multiple move criteria

The magic doesn’t end there, you will also be able to trigger different moves depending on the candidate's answer by adding another group.

💡 In this example, a second group has been added, targeting the candidates that answered NO to the question if they speak Swedish but also answered the video questions. These candidates will be moved to the Reviewing stage.

The first matched group will be used to trigger the move of the candidate, so make sure to place them in the right priority order.

Smart move based on the status of a Job offer

You also have the option to enable a smart move based on the status of a Job offer sent to the candidate. The statuses that can trigger the move are; Sent, Accepted, and Declined.

💡 In this example, candidates will be moved to the Offered stage as soon as the job offer has been sent to them.

Smart move based on resume text

Ensure that the most qualified candidates are efficiently moved through the hiring pipeline, by adding a Smart Move based on keywords in the candidate's resume text.

For instance, if you're hiring for a software developer position, keywords might include JavaScript, Python, and Agile.

Smart move based on location

When using multiple locations in a job ad, candidates will need to choose which location(s) they are interested in, when applying.


With Smart Move based on location, you can move candidates who expressed interest in one or more locations to a certain stage.

💡 In this example, candidates who chose Copenhagen when they applied, will be moved to the Interview stage.


Additional settings

Finally, choose if you want to limit the trigger to a specific section of candidates (for example exclude internal candidates).


Adding a delay to the trigger means the move will hold for a set amount of time.

Please note! The trigger will be canceled if a candidate is moved to another stage during the set delay.


General rules

  • When a Smart Move trigger is added to a stage, it will only be applied to new candidates added to that stage. Existing candidates already in the stage the Smart Move is added to, will not be affected.

  • Updating an existing Smart Move trigger will not affect candidates already in that stage. Only new candidates added to the stage will be subject to the updated criteria.

  • An update on candidates' resumes, locations, or question answers in a job application, will not trigger a Smart move that is set in the current stage. An exception to this rule is changes in job offer status.
