Book meetings with multiple participants or invite candidates to individual meetings at the same time, making your recruitment process more efficient.
The selected organizer for meetings booked through the trigger need to have their calendar connected. You can find an article about how to connect your calendar here.
Select candidates to invite
If you want to invite a specific group of candidates, go to the Candidates page or to a specific job process to choose the participants. Enable bulk select (1) and select the candidates you want to invite to the meeting (2). Then, in the action bar, click ⠇More and choose Book meeting (3).
Start setting up the meeting by adding details for the meeting. This information will be sent to the candidates in their invitation.
Add team members if you are not the only colleague attending the meeting, and don't forget to add a location so the participants know where to go.
Individual meetings for each candidate
If the selected candidates should all have an individual meeting, you need to choose the option Let candidate choose in the Time and date section.
Using this option, you will send each candidate a booking form with the time slots you have chosen or based on your calendar availability, for them to choose from.
All time slots will be sent out to the candidates, and the candidates will then be able to pick a slot that works for them. If a candidate picks a time, that time slot will become unavailable for the other candidates to choose from. First come, first served!
The same goes if the organizer adds something to their calendar, any previously offered time slot will disappear from the candidate's booking form.
If another colleague is attending the meeting, they need to have a connected calendar for you to be able to send out an invite. The time slots will automatically adjust to your and your colleague's available times.
All candidates in one meeting
If all selected candidates should participate in the same meeting, you need to choose the option Set specific time in the Time and date section.
Pick the date and the time for the meeting and press Send invite to send out the email to all participants. Your selected candidates will then all be invited to the same meeting.
Invite candidates automatically
If you would like to automatically book meetings with candidates, you can set this up in your job processes using a Smart schedule trigger.
Start by going to the job in question, and hover over the stage where you want candidates to be booked for meetings. Click on the three dots ⋮ More and select Smart schedule in the Triggers section.
Message
In the first section, you will be able to set up the meeting invitation message that will be sent to each candidate.
Here, you can also enable a reminder that will be sent to the candidate a day before the meeting.
Meeting details
In this section, you can set up the team members, select an organizer, and define how many team members are required to attend the meeting.
The organizer will be the first available team member. For example, if the required number of team members is set to 2, the meeting can be booked as long as the organizer and one additional team member are available.
Here, you also select where the meeting will take place and if you want to use an interview kit.
If an interview kit has been selected, a reminder email will automatically be sent to the users whose feedback has been requested 24 hours after the meeting if they have not yet submitted their feedback.
Self schedule settings
The trigger will use the Let candidate choose option, meaning that a booking form with available time slots will be sent to the candidate. The available time slots are based on the connected calendars of the selected team members and the set scheduling settings.
You can also enable the option to automatically move the candidate to another stage once they have selected a time.

Finally, you have additional options to determine when the trigger should run and which candidates it should be applied to.
