Message your candidates in Teamtailor

Communicate with candidates and keep email conversations in one place

Send messages directly through Teamtailor, keeping all conversations with your candidates gathered in one place. Messages are delivered to candidates via email, and their replies are automatically synced back to your account.

With the SMS add-on feature enabled, you can send messages to candidates via SMS in addition to email.

Send a message

Send an email from the candidate card or the Message inbox. Start by adding a subject line, then compose your message and choose from the available options.

Add emojis to your message to match your tone.

Add question

Attach questions for the candidate to answer. Their responses will automatically appear in the Questions section of their profile.

When adding a question, you can select from existing questions or create a new one. You can also mark each question as optional or mandatory for submitting the questionnaire.

If questions are included, the email will contain a link to a questionnaire at the bottom. Clicking Show questions opens a page where the candidate can provide their answers and submit them.

Use message templates to quickly send consistent and effective messages to candidates.

Add a GIF to make your message more engaging and visual.

Add image

Insert an image to enhance the look and feel of your message.

Add a smart link

Add a styled link to a job ad or career site page for a more appealing layout.

Add file

Attach files to include additional information in your message.

Please note! Files with executable format cannot be uploaded due to security reasons. This includes the following file formats: .dmg, .pkg, .com, .exe, .bat, .cmd, .vbs, .vbe, .jse, .wsf, .wsh, .msc

Once you are happy with your message, you can schedule or send it right away by clicking Send email.

Schedule a message

Scheduling messages allows you to plan in advance, ensuring your message is sent at the right time. Click the arrow next to the Send email button to schedule your message. Choose from preset options like Next week, Tomorrow, In 3 hours, or select Custom to pick an exact date and time.

Scheduled messages appear in blue instead of pink, making them easy to distinguish from sent emails.

If you need to cancel a scheduled message, it can be removed as long as it hasn’t been sent yet. For messages written on the candidate card, go to the Messages tab, click the three dots next to the scheduled message, and select Delete.

For messages scheduled via a trigger, navigate to the Activity tab. Upcoming triggers are listed at the top of the activity log. Hover over the scheduled trigger, and the Cancel trigger option will appear. Selecting this removes the scheduled message, ensuring it will not be sent.

Send a message to multiple candidates

Send messages to multiple candidates by enabling Bulk select in the Candidates tab or within a specific job. Then select candidates by ticking the checkboxes next to their names.

In the action bar at the bottom of the page, click Message to start drafting your message and choose the options you want to include.

Send a message automatically using a trigger

Set up automated messages by adding a trigger to a stage in your recruitment process. Click the three dots in the upper-right corner of the stage, select Triggers, and choose Send message.


When composing the message, you can use the same option you would for sending out direct messages, including message templates.

You can also use placeholders to create a more personalized message and set a delay under Additional options. Choose how many minutes, hours, or days should pass after a candidate enters the stage before the message is sent.

These scheduled messages appear in the candidate’s Activity tab until they are sent, after which they will be added to the Messages tab as well as part of the conversation history.

Sent and received messages can be viewed directly on the candidate card or the Message inbox.

Each candidate card has a Messages tab available where the communications sent and received from them will be displayed.

In the Message Inbox, you see an overview of all ongoing conversations with your candidates, making it a great tool to make sure to stay updated on the relevant current communication!

Click the paper plane icon located at the very top of the page to display your ongoing conversations with candidates.

Views

Your inbox is organized into two main views:

My messages
View all the conversations you’ve actively participated in, including conversations where you have written to the candidate or that have been assigned to you.

Team messages
View ongoing conversations with candidates that you have been invited to view. Conversations appear here if they belong to a team you are part of or if you’ve been specifically added to them.

  • Conversations within a job process will appear under Team messages for the entire Hiring team.

  • Conversations outside of a job process appear under Team messages for members of any related Groups.

Conversation statuses

When you’ve opened your Inbox and are viewing one of the mentioned views, you can choose exactly what type of conversation you want to view.

Archived

All archived* conversations

* An archived conversation is any conversation that you have manually archived. However, if a candidate were to answer an archived thread, it would pop back into action.

Conversation view

When viewing a conversation through the Message inbox, you have different options available besides communicating with the candidate next to their name.

  • Book a meeting with the candidate

  • View candidate profile

  • Archive the conversation when it’s been handled

  • Additional options:

    • Mark a conversation as Unread.

    • Reassign ownership of the conversation to another user. This means the message will move from your My inbox view over to your colleagues, and they will be notified when the candidate answers.

    • If you want a user to be a part of this conversation, you can add them here. This means they will see the conversation under Team messages. You can only add users who have access to the candidate.

Conversation access

When viewing a conversation, every user listed next to the subject line will have access to it. These are the users who have either been in contact with the candidate or have been manually added to the conversation.
