We believe recruitment should be both effective and efficient, which is why we’ve made it possible for you to text your candidates directly from Teamtailor.
A Company Admin user needs to activate this feature in the Add-on feature center to get started. Please note that this feature may come with an additional cost.
We provide the SMS feature in collaboration with Twilio Inc (Twilio). Read more about this here.
This feature will be ready to use once the information you provide during setup has been approved by Twilio. Approval times may vary depending on the selected country.
Setup
Once this feature is enabled, go to Settings → Company → SMS. Here, you click Get started. To start using SMS, you need to activate a number first. This process is completed in 2 steps.
Step 1
First up, select the country you want to generate a number for and send your text messages from.
If your country is not supported, you can select the United Kingdom instead.
Step 2
Add the address you want the number to be associated with and click Save to submit the information.
Please ensure you add a street number to the address.
Approval process
Once the setup has been completed in Teamtailor, the information will be sent over to Twilio, and they will review it for approval. This is a mandatory step before the service can be used.
Please note! The information Twilio requires depends on the country selected during setup. For some countries, Twilio may request additional details or documentation, which can affect processing times.
If your initial request hasn’t been approved after 48 hours, please contact Teamtailor Support.
Collaboration with Twilio Inc
We provide the SMS feature in collaboration with Twilio Inc (Twilio).
When providing their service, Twilio acts as Teamtailor's sub-processor. Twilio will also process personal data in the feature for their own purposes, as an independent data controller.

Twilio mainly does so because of their responsibilities as a cloud communications provider: They are required to support telecommunications providers, regulators, and law enforcement in combating spam and illegal activities.
They also need to comply with legal, regulatory, and contractual obligations within the telecommunications industry. You can find more information about the purposes for which Twilio will act as a data controller in their Privacy Notice.
Send an SMS to a candidate
To send an SMS to a candidate, go to the candidate's profile and navigate to the Messages tab. Here, select the phone icon to switch to sending an SMS message. The message will be sent to the phone number added on the candidate card.
As you send your SMS, the message will turn green, making it easy to separate them from the pink messages sent as emails. When a candidate replies, you'll receive a notification similar to when you communicate via email and the candidate chat.
An SMS can contain up to 1440 characters in total. However, one credit is equal to 160 characters, which means that if your message contains more characters, you will be charged more credits. Before sending the SMS, you will see the number of credits that will be used for the message stated in the message box, like so:
Please note that emojis count as more characters than letters/numbers. If you include emojis in your message, you might be charged more. You can learn more about this here.
When candidates reply, Teamtailor does not surcharge SMS; however, additional costs for international numbers may depend on your operator.
Send SMS to multiple candidates
As you might know, you're able to SMS with your candidates (read more about this feature here). But did you know that you can send an SMS to several candidates at once? Super efficient!
As with any bulk action, enable the Bulk selector (1) and select the candidates you want to send an SMS to (2). Then, select the Message (3) option from the bulk action bar and choose the option SMS.
The message you enter will be sent to the phone numbers added on the candidate cards.
If some of the selected candidates don't have a valid phone number entered, you have the option to send that message as an email instead. Mark the Send as email... option displayed and add the message content along with a subject line. This ensures all candidates receive the communication!
Please note that candidates can opt out of receiving SMS, and SMS providers may flag your number as SPAM. You can read more about it here.
Credits and credit balance
You will pay for both outgoing and incoming texts. You’re charged 1 credit for both an incoming and an outgoing SMS. How one SMS is calculated depends on the number/type of characters, and other factors such as what country you text, and how many the SMS is sent to. Get familiar with the specifics here!
Credit pricing
Add credits to send and receive SMS messages to and from your candidates. Choose a package with the number of credits you want and click Purchase.
Small: 1000 SMS - 80 USD
Medium: 2500 SMS - 180 USD
Large: 10,000 SMS - 600 USD
Refill your credits
You can always find your current credit balance by navigating to Settings → General → SMS. When it comes to refilling your SMS credits, you can do this manually or automatically. When you’ve run out of credits, you will no longer be able to send outgoing text messages to your candidates.
Manually add more credits
To add more credits, simply click the Add more credits button right next to your credit balance and follow the purchase flow.
Automatically refill credits
This option means your credit balance will be automatically renewed once it reaches a certain balance. Learn more about automatic credit renewal here.
If you’ve messaged a candidate and your credit balance is down to 0, you will still be able to receive the texts from your candidates. You will then be put at a minus credit balance. Next time you refill your credits, you will repay the negative credits.
Credit billing
In-app purchases (such as SMS credits) are purchased using the credit card you’ve added to your billing information. You find the settings for your billing under Settings → Company → Billing, where you can also edit your credit card information.
