With Teamtailor, you and your team can easily add comments to your candidates. Add notes, share feedback, or store important details directly on the candidate’s profile. This streamlines your work, improves communication, and supports smarter decision-making.
Add a comment
Start by clicking Comment in the action bar or Comments in the sidebar on the candidate card. Here you’ll see all previously added comments, as well as the option to add your own.
Comments you add are only visible to users in your Teamtailor account. If you want to share them externally, you can do so using the Share candidate feature. Read more about this here.
Visibility
Start by deciding who should be able to access your comment:
💼 Comment on job application
These comments can be accessed by the hiring team for the job and by users with Admin access.
👤 Comment on candidate
These comments can be accessed by all users with access to the candidate. This includes users through a hiring team, a group, or those with Admin access.
🌎 Visibility
You may want to hide sensitive comments from certain users. To limit the comment's visibility, click the globe icon before posting it by selecting the users who should have access.
Hidden comments will have a padlock icon added next to them and will only be shown for the selected users.
Note! Users with the Company Admin role will have visibility into all comments, including hidden ones.
Formatting
Different types of formatting are supported in comments to ensure you and your team can express yourself and easily highlight information.
When marking text, you can format it using Bold, Italics, Bulleted lists, and Links.
To create a new paragraph, press Enter ↵.
For a single-line break, press Shift ⇧ + Enter ↵.
Mention
Make sure your comment reaches the right team members by mentioning them.
When you mention someone, they’ll be notified according to their notification settings.
To add a mention, click or type @ on your keyboard, then select the user(s) you want to notify. Available users to mention depend on the type of comment and access:
💼 Job application comments: You can mention the hiring team, individual hiring team members, and Admin users.
👤 Candidate comments: You can mention groups with access, individual group members, and Admin users.
Attachment
You can attach a file to your comment, which is useful for adding additional documentation. To do this, click the 📎 icon and select the file you want to attach.
Note that you must include text in the comment section to upload an attachment.
The attached file will appear in the comment and will also be added to the Documents section on the left-hand side of the candidate’s profile.
The file will be uploaded in the comment and also added under the Documents section on the left-hand side of the candidate's profile.
Please note! Files with executable format cannot be uploaded due to security reasons. This includes the following file formats: .dmg, .pkg, .com, .exe, .bat, .cmd, .vbs, .vbe, .jse, .wsf, .wsh, .msc

Manage a comment
Hovering over a comment will give you one/several of these options:
Add reaction
Let your colleague know that you have seen their comment by reacting to it with an emoji of your choice.
Pin comment
Sharing important information? Pin the comment to avoid it being missed by your colleagues.
Edit comment
Did you make a spelling mistake or want to update the information you added? Hover over the comment, click the three dots ⋮ , and then Edit.
Delete comment
To delete a comment, hover over it, click the three dots ⋮, and select Delete. Please note that once a comment is deleted, it cannot be recovered.
Note! Users with the Company Admin role can delete comments written by other users.
Filter comments
You can filter what’s shown in the Comments tab by clicking the filter icon at the top. Choose to display comments for the selected job or for all jobs. You also find the option to only view added candidate and job application reviews.
