Under Settings → Recruitment → Co-pilot → Candidate management, toggle on Suggest existing candidates:
Co-pilot can help you find forgotten gems in your candidate pool, by matching them to an open job and presenting them directly in the job process view.
Activate for a job
After activating the feature in Co-pilot settings, you have the option to activate the feature in your jobs. Go to a job and click "Suggest candidates" in the jobs overview, the system will then start searching for candidates that match the identified requirements for the current job ✨
Suggested candidates
You will be presented with a maximum of 20 candidates that Co-pilot thinks fit the job. If you think a candidate is a good fit for a job you click "Move to Inbox" to move the candidate into the job, which will mark it as "Sourced".
Is the candidate not a good match for this role? Click on "Not a fit" and the candidate will disappear from this view and won't be suggested to this job again. It will however still be present in the candidate pool.
Do you collect separate Permission for future jobs?
If Yes, only candidates who have opted into the Future jobs permission will be taken into account and potentially suggested as job matches by Co-pilot.
If No, all candidates will be taken into account and potentially suggested as job matches by Co-pilot
How the matching is done
Co-pilot matches candidates to jobs in two steps:
Co-pilot retrieves the skills required for the job and searches for candidates with those skills.
For each candidate, Co-pilot analyzes the following information to determine if they are worth reaching out to:
Resume
Previous job applications and answers
Messages
Locations
Based on this analysis, Co-pilot decides whether to include the candidate in the “Suggested” column.
Excluded candidates
Some candidates are excluded from the search:
Internal candidates
Candidates that have been hired
Note that all users with access to the job where Suggest existing candidates are activated will be able to open and manage all suggested candidates.
This means that Co-pilot might suggests candidates that a user and members of the hiring team normally would not have access to see or manage. The user will only have access to candidate-related information, meanwhile, information added to the job context will not be visible. To better understand this, please look at the following article: What candidate data can be accessed by whom?
Deactivate for a job
You can disable the "Suggested" column for a job by going to the "Stages" section on the edit page.
Hide stage
You can also hide the "Suggested" column visually while it is still enabled.
The purpose of this feature is to utilize your candidate pool and identify potential matches to the job description and your requirements. However, it is always expected that a human will evaluate the candidate to ensure the best fit for the job in the end.
Co-pilot candidate suggestions are not the only way to assess the existing candidate pool for the relevant position. There are many filter and sorting options available to users to ensure potential fits are not missed.
