Let’s talk about Job offers, and how you can share these with your candidates and see their comments/responses directly in Teamtailor.

Create and send a job offer
Once the feature is activated in the account you will be able to create job offers for your candidates. Start by opening the candidate card and in the action bar under ⋮ More choose Create job offer.
This will open up the job offer creation modal:
Let’s take a look at the specifics here:
Job | The job the offer is connected to. Note that a candidate has to belong to a job to be able to send a job offer. If the candidate belongs to multiple processes, you can select which job the offer is regarding.

Contact person | Choose the visible contact person for the job offer page. If no contact is selected, the main recruiter for the job will be displayed by default.

User with access | Choose which team members* you want to be able to access the job offer and the information. Please note that any user given access to this field will be able to edit/send/answer the job offer.
Hiring team members without access to view the offer will still be able to see the job offer’s activity, including when an offer is sent and accepted/declined.
*The job's main recruiter, and admin role users, will always be able to access the offer. |
Offer template | Select a job offer template to use for the job offer. These are set up by the Admin users in your account. |
Job offer name / Offer message | Add the name of the job offer and the message you want to include in the offer sent to the candidate. An offer message is mandatory when sending a job offer.
Get the name right from the start in the Offer message, by adding placeholders as |
Salary / Start date (Default fields) | Include the job offer's salary as well as the start date. Note that the salary field is mandatory.

Custom fields | If needed, add custom fields in the job offer, to make sure all the relevant information is included. The available field types are Short text, Long text, Number, Date, Multiple choice, and Single choice.
💡 For eg. include a number field, detailing the number of vacation days, or a text field to list any other perks. |
Appendix / Attachments | Include any files relevant to the offer.

Messages | Choose which automatic messages you want to display when the candidate accepts or rejects your offer.

After you’ve added the information, you will be able to preview the offer, save it as a draft, or send it to the candidate.
Job offer templates
As a Company and Recruitment Admin user, you can create Job offer templates for your team to use. You’ll find and create new templates under Settings → Templates → Job offers.
Your team will then be able to use your templates when creating job offers, by selecting it under the Offer template field.
What will the candidate see?
Now, let’s cover what your candidate will see when they receive your offer!
First things first, when you share the offer they will receive an email that looks something like this:
Note that this is sent from the no-reply@message.teamtailor.com which means the candidate can’t reply to this email. The sender alias will be the contact person chosen in the job offer.
Job offer page
Each job offer is displayed on its own unique page, where they will see the details added to the offer. The user selected as the Contact person in the job offer will be listed on this page.
The job offer page includes a comment field and will allow the candidate to accept or decline the offer.
When accepting or declining, your candidate will see the message you’ve added as an acceptance/rejection message.
Print offer
Both before and after accepting/declining the offer, the candidate has the option of printing it. This allows them to for eg. save it as a PDF.
Confirmation email
Finally, your candidate will receive an email notification, stating their decision. This will look something like this:
What will the invited team members see?
When you create the job offer, you include which users you want to be able to view the details of the offer in the User with access field.
Job offer’s status
A job offer can have four different statuses.
Draft
A job offer that has been saved, and not yet sent.
Sent
A job offer has been sent, but the candidate has not yet responded.
❕ Please note! If you have access to the job offer, you can answer the offer on behalf of the candidate. By opening the job offer and here clicking Answer offer you’re asked to add a comment and if the offer is accepted/declined. This is then displayed in the candidate’s profile.
Accepted
A sent job offer has been accepted by the candidate.
Declined
A sent job offer has been declined by the candidate.
Smart move trigger for job offers
You can use Smart move triggers to automatically move candidates to a certain stage, when the Job offer is Accepted / Declined or Sent. In the example below, candidates will be moved to the Offered stage as soon as the job offer has been sent to them.
