Connect questions to your candidate custom fields

Automatically populate your candidate custom fields based on the answers to selected questions

Throughout the candidate journey, valuable information is collected for both current and future recruitment processes.

By linking questions to candidate custom fields, you can easily access key information without extra manual work. This keeps your data accurate and saves valuable time for your recruitment teams.

This functionality is available across several areas in Teamtailor, helping you streamline your workflow:

How it works

With this feature, you can automatically populate your candidate custom fields with answers to selected questions answered by your candidates.

Once an answer is submitted, the custom field will be updated on the candidate card and logged in the Activity section.

Data mappings

Depending on which context the connection is made and which question type is used, different field types will be supported. To simplify the setup, only supported fields will be shown as options, with the best-matching field type recommended at the top.

Below is an overview of the supported custom fields for each question type used for Surveys and Onboarding feature forms.

* If a Choice question includes more answer options than what's already available in the connected custom field, these answers will automatically be added as new options. Misspelled answers will also show up as new options, except for minor variations in casing and spacing.

Private custom fields

Custom fields set as private will only be available to make connections with for users with access as Recruitment Lead, Recruitment & Company Admins.

Set it up

Questions are linked to custom fields through specific actions, meaning multiple questions can be associated with the same field across different contexts. Each action is unique and tied to the context, not directly to the question itself.

You will be able to see the number of connected questions displayed in the overview under Settings → Recruitment → Custom fields. By clicking a field, you can see which questions are connected to the custom field and also remove the existing connections.

Application forms

Questions added to the application form can be connected to candidate custom fields. This is set up in the job editing mode under the Questions section in the Application step.


Once a question (existing or new) has been added, you can toggle on Connect a custom field under the three dots and choose the desired custom field. Then simply save the job to complete the setup.

Pro tip! Set this up in your job templates to ensure consistency for all your different recruitment processes.

Now, each time a candidate answers the question and submits their application, the chosen field will be updated with their answer automatically.

The field will be updated if the candidate edits their application and changes their answer to the question through the Connect dashboard.

Questionaires

When sending questions through Messages, you will find the option to connect candidate custom fields to them. Click the three dots next to the attached question to make the connection and send the email to the candidate when you have set it up.

Once the candidate has answered the question and submitted the questionnaire form, the chosen field will be updated with their answer.

Connect

Work proactively by populating important information from your candidates for the questions set up in Connect.

On the Connect overview page in Content, your custom questions can be connected to a candidate custom field by toggling on Connect a custom field through the three dots button.

After the setup is saved, the chosen field will be updated for candidates who Connect and answer the question.

The field will be updated if the candidate edits their answer to the question through the Connect dashboard.

Surveys

Questions added in Surveys can be connected to certain custom candidate fields.

This option is not available for surveys with Confidential responses to protect the anonymity of the candidates.

When editing a survey question, you will see the option Connect a custom field, where you can choose one of the available fields.

Once the candidate has answered the question and submitted the survey, the connected field will be updated accordingly on the candidate card.

Onboarding

If you are using our add-on feature for Onboarding, you will also be able to make a connection to questions added in the created Forms sent to the new hire.

After they have submitted their responses to the questions in the form, the information will be updated on their candidate card.
