Manually source candidates to your platform and into jobs

By proactively sourcing candidates, you make it easier to find and hire the right people at the right time.

You can choose to source a candidate into your candidate database, and they will be assigned Sourced as their candidate status.

If you add candidates to a job process manually, they will be assigned an additional candidate status, Sourced application.

Source a candidate

Sourcing a candidate means you manually add them to your candidate database.

To ensure you can collect permission to store their data, make sure you have set up the Data & privacy settings for sourced candidates.

In your candidate bank

Start by navigating to your candidate database under Candidates. Here, click the pink plus sign button at the top right-hand corner (+ Add candidates).

Enter the candidate's details manually or automatically parse information from the candidate's CV/resume.

This is also where you choose which department/role/location the candidate should belong to. Finally, at this stage, you can also choose to add the candidate to one of your open recruitment processes.

The settings you choose for the department/role/location and/or recruitment process will decide which users will have access to the sourced candidates. More information about this can be found here.

When you’re sourcing candidates, you will be able to add several candidates at once. By manually clicking + Add another candidate or attaching several CVs/resumes, the system will create a candidate profile for each attached document.

Keep in mind! If you’ve selected a recruitment process before saving, all candidates included in this round will be added to the pipeline of that job process.

The final step is to save the candidate you’ve added by clicking Add candidates. They will now appear in your candidate database (and in the process, you’ve added them in).

In a job

The option of adding a new candidate can also be found when viewing a job process under Jobs. The candidate will then be sourced directly into the job in question and added to the candidate database.

Add an existing candidate to a job

When an existing candidate in your account is a good fit for one of your open positions, you can add them manually to the job process within Teamtailor.

Access the candidate card to get started. In the action bar under ⋮ More, click the + Add to job button. This will allow you to manually add (source) the candidate to one of your job postings.

Once added, the candidate will appear in the Inbox stage within the job with the status Sourced application.

When adding a candidate to a new job, all their previous data (e.g., reviews, comments, messages, etc.) will remain intact.

If the candidate is part of another job process, they will stay in that recruitment process. If that job is no longer relevant, you’ll need to reject that job application.

Pro tip!
Set up a reject reason under Settings → Recruitment → Reject reasons to be used for job applications rejected when a candidate is moved to another process.


This data can be tracked in your Jobs report, Recruitment reports, or when setting up your own Custom reports.

Filter on sourced candidates

You can use filters to find all the candidates manually added to your account and jobs.

Candidates

Go to your candidate database and click on + Add filter. Here you will be able to filter on:

  • Sourced: Candidates manually added to your candidate database

  • Sourced application: Candidates manually added to a job process

Job

When viewing a job process, you can enable filters directly in this view. Here you will find Sourced available as a filter under Status.
