General Data Protection Regulation (GDPR) is a regulation from the EU that went into effect the 25th of May 2018. The GDPR applies to every company that handles any personal data within the EU and don't you worry, with our GDPR features we make being GDPR compliant easy.
First, start by enabling the Data retention settings for your account. This is done under Settings→GDPR settings. When doing so, you will follow a 3-step Setup guide so make sure you have a few minutes to spare.
Clean up your candidate database - ensure that your candidate database is in check, and keep only relevant candidates. You can get some tips on how to do that here!
Step 2/3 - Manage your existing candidates
Once you've completed the first step, you continue with the setup guide. The second step is where you decide how you want to manage all your existing candidates. For this, you have 4 options.
Send opt-in email to all candidates
Send different emails depending on candidates status
I already have permission
Handle candidates manually
Choose the option suitable for your company and proceed to the next step. If you choose an option that included sending an email to your candidates, you will be able to write that email in the next step.
Note! If you selected to handle your candidates data manually, this is the last step of the setup.
Step 3/3 - set data retention period
In the third and final step, you set your data retention period. Depending on which option that was selected in the previous step (2/3), you might be able to format the emails sent to the candidates.
The data retention period is what amount of time your candidates consent is valid for, before it expired. After this time has passed, you will be notified by the system.
Note that this step will look different, depending on the option you have selected.
Select your period you want to work with, and format the emails that will be sent and click Finish. And that's it, you have now completed the GDPR setup guide 🏅
