Inviting your employees is an important step in setting up your Teamtailor account. Ensuring the right people have the right level of access helps your team collaborate efficiently while keeping your data secure.
This support article will give you an overview of the different user role permissions within the platform. If you’re looking for more detailed information, we recommend viewing our user list permission table available in our Trust Center here.
Add employees
As a Company Admin, you can add new users to your account under the Employees tab. Here, click Add employees, where you will be given the option of adding one user or several users.
Access
Depending on your employees involvement in your Teamtailor account, you can assign different roles of access.
No access
If you want to restrict employees from accessing your Teamtailor account, you can assign them the No Access role. This will prevent them from logging in, but they will still be able to receive email notifications when new jobs are published, which they can manage directly from the emails.
If you would like them to appear as an employee on your career site, as long as a profile picture has been added and their profile is set to public.
General pages
In this section, you can see how the default pages in the platform can be accessed depending on the selected role.

* The Teamtailor dashboard will only be visible for a Default User if they have access to candidates through a group and/or jobs through a hiring team.
** A Recruitment Admin can only access the Templates, Recruitment, Analytics, and Integrations sections in the company settings.
*** These roles can access the add-on feature center and request features to be added. Only a Company Admin can activate/deactivate features in the account.
**** A Recruitment Lead can access the Marketplace, but only a Recruitment or Company Admin can activate/deactivate integrations in the account.

This section shows which of the top menu pages can be accessed by each role. Note that the content within each page may differ depending on the access level.

* A Default User can only add new candidates if they are added to a group. They can only add candidates to jobs if they are part of the hiring team.
** A Default User, Hiring Manager, and Recruitment Lead can only view, edit, and delete candidates they have access to through a hiring team or group.
Restrict access
Once a user has access to a job or candidate, they can view the related data by default. If your company needs to restrict certain parts of the recruitment process or specific candidate information, you can read more about our add-on feature, Restrict access here.
Role add-ons
For most roles, you have the option to add-on access to specific parts of the platform. To add the additional access, you simply enable add-ons for the role and select one/several options.
This means that, on top of the user's base access, the user will also have access to one of the following areas:
Content
This add-on grants access to the Career site editor, where they can update the content and settings for the career site and its pages.
The Content add-on cannot be added to the following roles:
Company Admin: Already has access to the career site editor
Division Admin: Already has access to the career site editor for their division(s)
External Recruiter
No Access
Analytics
This add-on grants access to all the reports on the main Analytics tab, except for Custom reports.
Note that this does not grant access to the actual candidate card and/or job process. For the user to see this, they need to be granted this access through a group and/or hiring team.
The candidate’s name will be presented either as N/A or Deleted candidate, depending on how the data in the report is fetched.
The user will also be able to access employee names/data in Analytics with this add-on role.
The Analytics add-on cannot be added to the following roles:
Company Admin: Already has full access to Analytics
Recruitment Admin: Already has full access to Analytics
Division Admin: Already has access to Analytics for their division(s)
External Recruiter
No Access
Add-on feature roles
Apart from the default Teamtailor roles, there are certain roles that can be accessed through certain Add-on features.
Division Admin

Public profile / Contact details
As a Company Admin, you can decide which employees should have public profiles, including public email addresses and/or phone numbers. This can be enabled under Settings → Public Profile in the Employees tab.
If these options are enabled, the selected information will be displayed on your career site.
